This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, Beckman Center for Mental Health, 1547 Parkway Greenwood, SC 29646, based in the administrative office.

Administrative Coordinator I will serve as an office manager for the Greenwood Clinic Support staff functions and act as a liaison and consultant to support staff in all other Beckman Clinic locations. Provide administrative oversight to support staff in satellite clinic locations.

Responsibilities for the Administrative Coordinator I:
  • Serve as office manager for the support staff functions for the center. Provide administrative oversight to support staff in satellite clinic locations. Serve as supervisor for lead support staff.
  • Ensure all locations follow access to care protocols to include completion of C-20's, as appropriate, and management of a will-call list. Ensure appropriate schedule management and ensure that support staff review appointment reminder portal daily to ensure patients receive reminder and reschedule patients who have requested it. Ensure back-filling of schedules when there are cancellations.
  • Provide onboarding training of new staff with administrative functions and ongoing training for all administrative staff. This includes providing regularly scheduled staff meetings for support staff and participating in team meetings.
  • Provide oversight to accurate data collection and data entry related to clinical services, documentation, financial and third-party billing information and other records on all new intakes and existing patient records. Ensure accurately and timely processing of the above referenced data in compliance with SCOMH and Beckman Center policies and procedures as well as Quality Assurance and Corporate Compliance standards. Ensure that all patients complete registration/intake per OMH policy and Quality standards.
  • Comply with Division of Financial Services policies and procedures. Assist with the annual internal self-audit, financial audits, and auditing of medical records release procedures.
  • Ensure that patients receiving a self-pay reduction have submitted appropriate documentation. Will complete yearly financial updates on each client in accordance with SCOMH DOFS policy and procedures. Provide oversight to medical records requests. Ensure adherence to the SCDMH Privacy Practices Directive.
  • Will adhere to policies and procedures according to corporate compliance, fire and safety, and CARF. Demonstrate cultural competency.
  • A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.
  • Bilingual abilities in English and Spanish (or another language) are a plus.
