Hours: Regular Part Time (20 hours a week)

Job Summary:

To provide clerical support to the outpatient rehabilitation department, orthopedic institute, and pre-admission testing department.


Accountabilities


  • A. Provides all departments with necessary clerical support

  • 1. Ensures that area allows for efficient registration and reception of patients.

  • 2. Performs order entry accurately.

  • 3. Performs registration accurately and efficiently.

  • 4. Proactively addresses the needs of the patient upon arrival and departure from the department.

  • 5. Ensures that all intake paperwork is completed at the time of the initial visit

  • 6. Accurately collects copayments, provides receipts, and logs payment at the time of service.

  • 7. Maintains par levels of all rehab brochures in the outpatient therapy area.

  • 8. Maintains office supplies and forms for the therapy areas.

  • 9. Distributes mail to therapist as needed.

  • 10. Performs processing of both incoming and outgoing faxes including maintenance of accurate logs.

  • 11. Performs scanning and copying as needed.

  • 12. Delegates appropriately to volunteers.

  • 13. Able to perform all duties outlined in Rehab Administrative Assistant job description.

  • 14. In collaboration with the Rehab Senior Administrative Lead, problem solves office equipment issues such as computers, fax machines, copier, and phones in all areas.

  • B. Communicates with all patients and team members in a collaborative, courteous manner while demonstrating strong customer service.

  • 1. Consistently demonstrate strong verbal and non- verbal communication skills

  • 2. Consistently interact with patients, physicians and other team members courteously.

  • 3. Ensures that phones are answered in timely, courteous manner.

  • 4. Record messages with proper elements and delivers to appropriate individuals.

  • 5. Displays excellent customer service skills both in person and on the phone.

  • 6. Obtains language line device if required and notifies manager if sign language interpreter needs to be scheduled.

  • C. Performs scheduling functions for rehab services that are accurate, timely and efficient

  • 1. Performs scheduling for all rehab services that are timely and accurate from evaluation forward.

  • 2. Reviews all booking notices for accuracy and takes action to rectify any discrepancies.

  • 3. Maximizes therapist schedules in collaboration with the Manager and therapists.

  • 4. Performs follow up scheduling/rescheduling of patients.

  • D. Manages electronic medical records including scanning of documents accurately, timely and efficiently.

  • 1. Complete all registrations.

  • 2. Create all new patient records with all mandatory elements.

  • 3. Ensure that all intake information is sent to patient prior to arrival

  • 4. Ensure that all data collection for patient is completed prior to evaluation.

  • 5. Scans appropriate paperwork into patient’s chart throughout their episode of care

  • 6. Send all plan of care documentation as per department guidelines, maintain database in system, and ensure that signed plan of cares are received and documented as such.

  • 7. Complete insurance authorizations under the guidance of the therapist.

  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures

  • Other duties as assigned to support the unit, department, entity, and health system organization


Qualifications:


  • H.S Diploma/ GED Required
