Job summary

The University of Central Florida - College of Medicine’s Human Resources team is seeking an Administrative Assistant I to support a central HR office and serve as the face of the department on-site.

You will greet visitors, handle inquiries, manage mail and deliveries, and assist with day-to-day operations while supporting student staff and HR initiatives.

Qualifications

  • Minimum high school diploma or equivalent with 0+ years of relevant experience.
  • Experience in a customer service oriented role and strong professional communication.
  • Ability to provide guidance or mentoring to student workers or junior staff.
  • Proficiency with Microsoft Office applications (Outlook, Word, Excel) and virtual meeting platforms (Teams/Zoom).
  • Experience drafting written communications, procedures, or correspondence.

Responsibilities

  • Front Desk & Customer Service: Greet visitors, direct inquiries, manage HR inboxes, and accept deliveries.
  • Office Operations: Schedule meetings, manage supplies, and coordinate facilities needs.
  • Scheduling & Administrative Support: Draft SOPs and support data entry and emailing.
  • Student Oversight: Guide Federal Work Study students, assign tasks, monitor quality, and mentor.
  • HR & Project Support: Assist with onboarding, HR meetings, and routine HR activities.

Beyond the front desk, you'll take on a genuine lead function providing guidance, training, and mentorship to Federal Work Study student employees, making a real impact on how this team operates.This is a role for someone who is organized, people-focused, and ready to be the operational backbone of one of UCF's most essential departments.**Responsibilities:**Front Desk & Customer Service* Greets visitors and directs them to the correct location.* Answers external phone calls and directs inquiries correctly within the organization.* Provides information for routine inquiries; management of HR inboxes (i.e., AskHR and HR Administration).* Accepts and signs for deliveries.* Screens, sorts, and distributes mail.* Assists in arranging travel plans.Office Operations & Facilities* Ensures standard office machinery (e.g. phones, printers, copiers, and fax) is in working order.* Coordinates scheduling of individuals and meeting spaces, including opening and closing of office/meeting areas.* Manages office supplies inventory.* Submits work orders to CBRE (building management) for maintenance and repairs.* Submits IT tickets when issues arise.* Maintains technology equipment.* Maintains security management system dnaFusion.Scheduling & Administrative Support* Assists other administrative support personnel in efforts to manage office.* Drafts standard operating procedures for front desk operations and correspondence on behalf of supervisor.* Data/Analytics Customer Support (IT, Call Log, etc.).Student Employee Oversight* Provides day-to-day work direction, guidance, training, and operational oversight for Federal Work Study student employees, including assigning tasks, monitoring workflow, reviewing work quality, and serving as a lead resource to support successful completion of departmental objectives.* Assists with recruitment, onboarding, and scheduling of student employees.* Offers ongoing coaching, feedback, and mentoring to support employee development.HR & Project Support* Provides project and backup support to HR functional areas and Administration leads as needed.* Supports logistical coordination of HR meetings: One HR Community of Practice meetings.* Assists with routine human resources activities (i.e., new employee orientation, maintenance of personnel files, updates to Human Resources).* Other duties as assigned.**Minimum Qualifications:**High School Diploma or Equivalent and 0+ years of relevant experience.**Preferred Qualifications:*** 1+ years of experience in an administrative or office support role within a university, public institution, or similar setting.* Experience in a customer service-oriented role with the ability to interact professionally and provide courteous responses to inquiries from stakeholders.* Experience providing guidance, task direction, or mentoring to student workers, interns, or other junior staff.* Proficiency with Microsoft Office applications (e.g., Outlook, Word, Excel) and virtual meeting platforms (e.g., Microsoft Teams or Zoom) for correspondence, scheduling, and data entry tasks.* Experience drafting written communications, procedures, or correspondence in a professional setting.* Demonstrated ability to manage competing priorities, pivot quickly when needs change, and maintain attention to detail in a fast-paced environment.The most successful candidates may possess the following qualities:* Strong interpersonal skills and ability to interact effectively with a variety of individuals, including faculty, staff, students, and visitors.* Ability to work independently and collaboratively in a team environment.**Additional Application Materials Required:**In addition to your application, please include a resume and cover letter.**Special Instructions to the Applicants:**The anticipated hourly rate range for this position is $15.66 to $18.79.
