Job summary

Monarch Healthcare in North Carolina seeks an Administrative Assistant to support the Behavioral Health Division within Crisis & Urgent Care Services. You will perform technical and office tasks, assist the Director and staff, and work with the public to ensure responses meet service guidelines.

Responsibilities include maintaining records, preparing reports, front desk duties, and ensuring effective communications with stakeholders.

Qualifications

  • High school diploma required.
  • Clerical experience preferred but not required.
  • Notary certification is required within the first year of hire.

  • Maintain and keep orderly and up-to-date files such as procedures, correspondence, program participants, finances, mailing lists, forms, agency directory, etc.
  • Complete reports, assessments, and paperwork as required or requested.
  • Ensure all records meet standards, regulations, policies and procedures.
  • Coordinate preparation, and/or typing, of programmatic material, reports, meeting minutes, mailings, and correspondence.
  • Demonstrate knowledge of statutes, regulations and policies of governing areas in which job responsibilities are performed.
  • Perform a variety of routine clerical duties including but not limited to filing, copying, faxing, sorting mail, scanning and posting.
  • Assist in front desk/medical records responsibilities: greet visitors, check people in and out, schedule appointments, pull charts, perform medical record filing, audit medical records.
  • Ensure professional and courteous communications via telephone, fax, face-to-face, correspondence and any other method of communication used with all people served, internal and external stakeholders.
  • Serve as support and informtional liaison to employees, related professionals, visitors, and people served reporting issues to appropriate management staff.
  • Maintain trainings as required and requested.
  • Demonstrate knowledge of emergency procedures and assist in crisis situations.
  • Verify and update information for people we serve.
