Job summary

Northrop Grumman Mission Systems in Woodland Hills, CA is seeking an Administrative Assistant 4 to support IDS, Navigator Life Cycle Programs and IMU/IRU operations onsite. The role offers dynamic, customer-facing responsibilities and requires strong organizational skills for a high workload environment.

The successful candidate will manage Director calendars, arrange travel, process expenses, handle visitor clearances, and prepare professional documents.

Qualifications

  • High School Diploma with 6+ years of relevant experience.
  • Advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel).
  • Experience coordinating Outlook calendars, conference calls, and shared link applications.
  • Experience coordinating both on- and off-site meetings and events with customers, including food and refreshments.
  • Experience making travel arrangements and expense reporting.
  • Experience compiling and generating reports and presentations.
  • US Person required.

Responsibilities

  • Coordinate internal and customer meetings, including arranging food and post-visit cleanup.

Northrop Grumman Mission Systems (NGMS)

is seeking an Administrative Assistant 4 to support the Integrated Digital Systems (IDS), Navigator Life Cycle Programs and Inertial Measurement Unit / Inertial Reference Unit (IMU/IRU) operating units onsite in Woodland Hills, CA. This is an exciting, dynamic environment at the cutting edge of business in the high technology defense industry. The individual in this role will get to work in a challenging, internal, and customer-facing role that also has a lot of delegated authority/responsibility while working with the respective Operating Unit Director and their teams.

The successful candidate will work well in a highly dynamic environment, be an independent thinker, be customer oriented, be proactive and have a track record of working in a fast-paced, multi-faceted environment with a high daily workload supporting multiple directors, managers, employees, and priorities as required.

What You'll Get To Do
  • Coordinate business meetings, both internal as well as for Customers. This includes ordering and setting up food for the attendees and post visit clean-up.
  • Manage the Director(s) calendar, coordinating agendas for customer visits, and interfacing with Customer.
  • Arrange visitor badging and receive visitors including customers and other contractors.
  • Coordinating receipt of customer clearances and administering customer badging process.
  • Arrange, maintain, and modify the Director(s) schedule and associated departmental activities.
  • Assist the Director(s) and team with making travel arrangements and submitting expense reports.
  • Handle confidential business matters and maintain effective and efficient organization of administrative requirements.
  • Prepare correspondence.
  • Coordinate staff meetings
  • Use Microsoft Office to produce high-quality reports, presentations, or other documents.
  • Use the Northrop Grumman travel system (Concur) to make travel arrangements and process expense reports.
  • Support other admin assistants as needed.
  • Follow up on actions on behalf of the director and perform other tasks as directed
Basic Qualifications
  • High School Diploma with a minimum of 6+ years’ additional education and/or professional relevant experience.
  • Advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel).
  • Demonstrated experience coordinating Outlook calendars, conference call, and shared link applications.
  • Demonstrated experience coordinating both on and off-site meetings and/or events with customers, including ordering, receiving and setting up food and refreshments.
  • Demonstrated experience making travel arrangements and expense reporting.
  • Demonstrated experience compiling and generating reports and presentations.
  • US Person required.
Preferred Qualifications
  • Bachelor’s or Associate degree, preferably in business or technical related field.
  • Experience with SAP, Concur, Facilities requests, S4, SmartBuy, etc.
  • SharePoint (or equivalent), and intranet/internet proficiency.
  • Experience proofreading and correcting documents for grammatical errors.
  • Demonstrated ability to be proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities.
  • Highly developed verbal and written communication skills and proven success in organizing, prioritizing, and completing assigned responsibilities.
  • Experience interfacing with executive level internal and external contacts with considerable autonomy.

Primary Level Salary Range: $66,600.00 - $111,000.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
