Job summary

Ameresco, Inc. seeks an Administrative Assistant for the Savannah River area to serve as a professional front-line contact, manage office operations, and support payroll and reporting tasks.

Responsibilities

  • Serve as the primary contact for visitors, vendors, and government representatives.
  • Answer and route calls with professionalism.
  • Review, monitor, and process invoices and requisitions for approval.
  • Manage office and supply inventories and forecast needs.
  • Prepare, format, and distribute correspondence, reports, memos, letters, and forms.
  • Assist with regular payroll submissions to Corporate.
  • Maintain confidentiality and discretion in handling sensitive information.
  • Provide general administrative support to the team and leadership.

Administrative Assistant – Savannah River

Responsibilities
  • Serve as the primary point of contact for visitors, vendors, and government representatives, ensuring a professional and welcoming experience.
  • Answer and route incoming telephone calls with professionalism and excellent customer service.
  • Review, monitor, and process vendor invoices and purchase requisitions for approval.
  • Manage office and janitorial supply inventories by tracking stock levels, forecasting needs, placing orders, and verifying deliveries.
  • Receive, sort, and distribute incoming mail, packages, and other deliveries.
  • Prepare, format, and distribute correspondence, reports, memos, letters, and forms.
  • Assist with the preparation, compilation, and submission of regularly scheduled reports.
  • Perform weekly quality assurance reviews and submit payroll records to Corporate.
  • Maintain, update, and distribute company contact lists to ensure accuracy and accessibility.
  • Organize and maintain shared drive folders and files, ensuring information remains current and properly documented.
  • Create, update, and analyze reports using Microsoft Dynamics 365, Excel, and PowerPoint.
  • Coordinate and support multiple projects and administrative tasks, including campus errands, document delivery, badge office visits, and other operational needs.
  • Develop and maintain knowledge of Department of Energy (DOE) requirements, ensuring compliance with established protocols and implementing updates as needed.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Provide general administrative and operational support to the team and leadership.
  • Other duties as assigned.
Minimum Qualifications
  • High school diploma or equivalent required.
  • Minimum of five (5) years of administrative support experience, preferably within construction, engineering, manufacturing, industrial, accounting, or professional services environments.
Additional Qualifications
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong verbal and written communication skills, with the ability to interact professionally with employees, customers, vendors, government representatives, and leadership.
  • Experience scheduling and coordinating meetings, managing calendars, and supporting virtual collaboration through Microsoft Teams.
  • Excellent organizational, time management, and prioritization skills, with a proven ability to meet deadlines in a fast-paced environment.
  • Working knowledge of procurement, purchasing, invoicing, payroll administration, and basic accounting processes.
  • Strong customer service mindset with the ability to respond promptly and effectively to changing business needs.
  • Experience maintaining electronic records, shared drives, and document management systems.
  • Demonstrated ability to manage multiple priorities, coordinate administrative processes, and support day-to-day office operations.
  • Experience handling sensitive and confidential information with discretion and professionalism.
  • High attention to detail and commitment to accuracy in reporting, recordkeeping, and administrative processes.
  • Ability to adapt quickly, manage competing priorities, and work independently with minimal supervision.
  • Willingness and flexibility to work additional hours when business needs require.
  • Ability to review confidential US security information is required.
