Job summary

RelaDyne is seeking a highly organized Administrative Assistant to support our management team and help keep the office running efficiently. In this fast-paced role you will handle calls, greet customers and vendors, and perform general admin tasks while contributing to a collaborative culture.

The ideal candidate has 3-5 years of administrative experience, strong communication skills, and the ability to multitask and meet deadlines in a dynamic environment.

Qualifications

  • 3–5 years of administrative experience preferred.
  • Experience in a fast-paced, customer-focused office.
  • Associate degree or equivalent combo of education and experience preferred.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Highly organized with exceptional attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Self-motivated and able to work independently and collaboratively.
  • Proficient with Microsoft Word, Excel, PowerPoint and Outlook.
  • Typing speed around 60 WPM.

Responsibilities

  • Answer and direct incoming telephone calls professionally.
  • Welcome and assist customers, vendors, and visitors.
  • Perform general administrative duties including filing, copying, scanning, faxing, and mailing.
  • Process customer orders through phone, in-person, and online channels.
  • Prepare daily delivery invoices and process cash receipts.
  • Assist with new customer account setup.
  • Support the sales team with quotes and special pricing.
  • Enter and scan Accounts Payable invoices.
  • Create, edit, and format correspondence, reports, and presentations.
  • Coordinate meetings, events, and office communications.
  • Maintain office supply and kitchen inventory.
  • Coordinate incoming and outgoing mail and shipments.
  • Maintain office records, filing systems, building keys, and equipment records.
  • Support executives and management with administrative projects.
  • Complete special projects and additional duties as assigned.
