Job summary

Materion is seeking an Administrative Assistant in Brewster, NY to handle purchasing, onboarding, visitor tracking, and daily office operations. The role requires proficiency in Excel, PowerPoint, Word, and SAP, plus at least four years of clerical experience in a manufacturing setting.

You will assist with reports, invoicing, and project support across plant operations and procurement functions. Flexible in coordinating meals, logistics, and supplier liaison tasks, the position offers exposure

Qualifications

  • Bachelor’s Degree with accounting or business classes preferred.
  • Minimum of 4 years of clerical, secretarial, or office experience required.
  • Administration experience in a Manufacturing firm preferred.
  • Experience with Microsoft Excel (spreadsheets, formulas, pivot tables).
  • Experience with Microsoft PowerPoint (creating and manipulating slides).
  • Experience with Microsoft Word.
  • Experience with SAP (financial piece) preferred.

Responsibilities

  • Submit purchase requisitions and reconciliation of expenses.
  • Ordering office supplies and keeping breakrooms and supply areas stocked.
  • Arranging luncheons and on occasion breakfast and dinners.
  • Participate in on-boarding new employees (uniforms, lockers, lunch, safety shoes, business cards, etc.).
  • Liaison between employees and uniform service assuring all necessary employees have proper uniforms.
  • Responsible for entering visitors in the RightCrowd system and scheduling their contractor/visitor training.
  • Liaison for onsite drink and snack vending machines.
  • Maintaining ETQ trainings for Brewster and Santa Clara employees.
  • Executing various reports for site.
  • Assist Controller with posting invoices, running variance reports, overtime labor reports, outstanding purchase orders, etc.
  • Pick-up mail and distribute.
  • Effectively collaborate with Plant Manager and team members regarding projects given to oversee.
  • Communicate with Facilities Project Manager regarding any AFE’s that are needed.
  • Communicate with procurement assuring all contracts are reviewed and acceptable.
  • Schedule onsite visits with vendors and necessary team members to procure quotes.
  • Create all necessary Purchase Requisitions for the project by assuring proper accounts are used.
  • Responsible for project reporting with all team members via email and/or meetings.
  • Maintain fully executed contract documents along with any other documentation for each project.
  • Responsible for keeping the project flowing.
