Responsibilities

  • Schedule enrollment appointments for incoming students.
  • Contact potential students about missing/incomplete documents.
  • Review for accuracy and upload documents into CampusVue.
  • Assist potential students with form completion as needed.
  • Document student activities in CampusVue with detail.
  • Start a paper file for the campus and provide phone support.
  • Aid enrollment during high-volume periods and add/drop weeks.
  • Conduct financial aid workshops for active and incoming students.
  • Coordinate with Admissions, Student Support and Financial Aid Manager.

Position Overview

As a Administrative Assistant at Galen College of Nursing, you will assist and provide guidance to potential and active students in financial and student support related areas.

Key Responsibilities
  • Schedule enrollment appointments for incoming students after packaging.
  • Contact potential students about missing and/or incomplete documents.
  • Review for accuracy and upload completed documents into CampusVue.
  • Assist potential students with completion of forms as needed.
  • Detailed documentation of student activities in CampusVue.
  • Start paper file for campus.
  • Provide telephone support to Enrollment Specialist as needed.
  • Assist with enrollment appointments during periods of high volume.
  • Conduct financial aid workshops for both active and incoming students as needed.
  • Work closely with Admissions, Student Support and Financial Aid Manger to manage new start.
  • Assist in filing and scanning of paperwork following Quarter starts.
  • Assist in other areas of financial aid as deemed necessary by Financial Aid Manager.
  • Assist in contacting students on a routine basis regarding attendance, performance and progression in the program.
  • Assist students with all questions and issues while being at Student support window.
  • Assist students during registration.
  • Assist students with schedule adjustments during add/drop week or at other times in the term as needed (advising student to impact of choice being made – completion and financial aid).
  • Assist students with ordering of uniforms.
  • Monitor clinical compliance, contacting students who are non-compliant and working with them to get all required documentation in hand so they can participate in clinical courses.
  • Provide student transcripts and verifications for students wishing to pick up these at the campus
  • Follow-up with students after graduation to obtain placement information.
  • Attend financial aid training, workshops and seminars as necessary.
  • Other duties as assigned.
Position Requirements
  • Education: Minimum high school diploma or GED, some college helpful but not required. Financial Aid experience a plus.
  • Experience: Experience in Microsoft systems such as Word, Excel, and Internet Explorer.
  • Special Qualifications: Ability to effectively communicate with a wide variety of people. Position requires great attention to detail, time management skills, and willingness to be a team player. Ability to document all communications with students in CampusVue. Must have enough knowledge to be able to determine what documents are needed and be able to assist with their completion.
  • Physical/Mental Demands & Work Environment: Must be able to sit a desk for eight hours at a time.
  • Degree of Supervision: Minimal.
