West Coast Dental Services is seeking a Traveling Administrative Assistant to provide essential administrative support across departments. The role involves scheduling, document preparation, and coordinating communications for both virtual and in-person meetings.

Ideal candidates will have frontline experience in medical/dental settings, proficiency in MS Word/Excel, and familiarity with dental software such as EagleSoft, Dentrix, or QSI.

  • Prior front office experience in the medical/dental industry preferred.
  • Strong MS Office experience (Excel and Word).
  • Previous experience with dental software (EagleSoft, Dentrix, QSI, or similar).
  • Strong written and verbal communication skills.
  • Strong interpersonal and relationship skills.
  • Ability to maintain outgoing, friendly attitude with patients and coworkers.

Responsibilities

  • Provide administrative support to the Practice Development and Training & Development departments, including scheduling, document preparation, and communication support.
  • Assist with project coordination by tracking deadlines, preparing updates, and maintaining organized documentation.
  • Generate and maintain reports using Excel and create professional documents in Word for department use.

  • Maintain a professional presence when interacting with leadership teams, ensuring clear and respectful communication.
  • Help organize training sessions, workshops, and departmental initiatives by managing materials and tracking attendance as needed.
  • Perform general office and administrative duties to ensure smooth department operations.

Job Title: Traveling Administrative Assistant

Reports To: RCM Management

Position Summary

The Administrative Assistant performs a variety of general administrative/clerical tasks

Key Responsibilities
  • Provide administrative support to the Practice Development and Training & Development departments, including scheduling, document preparation, and communication support.
  • Assist with project coordination by tracking deadlines, preparing updates, and maintaining organized documentation.

The employee is frequently /occasionally required to reach; lift and/or move up to 25 pounds; and balance, stoop, bend, squat, kneel, crawl, climb, twist, pull, and crouch . The essential functions of this position will result in the following: hazardous exposure (chemical and infections)—constantly; non ionizing radiation (welding flash, microwaves, sun, etc.)—frequently; radiation (x-ray, radioactive, isotopes, etc.)—constantly; noise (loud/repetitive, 85 decibels per OSHA standard)—constantly; and personal protective equipment (PPE: respiratory masks, latex gloves, face shields, etc.)—constantly.
