Job summary

The City of Loveland Public Works Department in Loveland, Colorado, seeks an Administrative Support professional to assist Transportation Engineering, Solid Waste, Street Maintenance, and Stormwater services. You will handle front office duties, customer inquiries, and routine billing tasks in a fast-paced public-facing environment.

A high school diploma is required; three years of reception and admin experience are expected, with strong computer and accounting system skills.

Qualifications

  • High School diploma or GED required; business/accounting coursework is a plus.
  • 3 years of reception/administrative experience with strong customer service.
  • Experience with computerized accounting systems and software.

Responsibilities

  • Provide exceptional customer service in a fast-paced public works front-office setting.
  • Answer questions about policies, projects and daily operations; focus on trash, recycling and street maintenance.
  • Assist with questions, requests and complaints related to Public Works services.

Description

Provide professional administrative and operational support within Public Works divisions: Transportation Engineering, Solid Waste Management, Street Maintenance and Stormwater/Sweeping.

The salary range for this position is $25.76- $36.07 per hour with a hiring range of $25.76 - $30.92, depending on qualifications and experience.

Essential Functions:
  • Provides exceptional customer service by managing a fast paced, customer focused environment as part of the Public Works call center and front office staff.
  • Answers a wide variety of questions related to the policies, procedures, projects and daily operations of all Public Works service areas, with a primary focus on the provision of trash, recycling, and yard-waste; the repair and maintenance of streets, including snow and ice control; and the repair and maintenance of drainage infrastructure.
  • Assists community members with a wide variety of questions, requests and complaints related to Public Works, services, explanation of services provided, billing issues and other issues.
  • Provide a superior approach to service in engaging community members.
  • Uses professional judgment that aligns with policies, procedures and plans to resolve question or concern quickly and satisfactory.
  • Generates and tracks service orders.
  • Calculates, collects and adjust fees and accounts.
  • Orders supplies and ensures all informational brochures are stocked and current.
Other Job Functions:
  • Occasionally organizes and coordinates department/division events
  • Admin and common area maintenance, ensure office supplies and equipment are organized and appropriately stocked.
  • Mail and package delivery.
  • Manage Public Works employee recognition program.
  • Assists with outreach material and mailing.
  • Performs other duties as assigned.
Qualifications:

Education:

  • High School graduate or GED required.
  • Training or education in business and accounting principles highly desired.

Experience:

  • 3 years previous work experience in reception and administrative responsibilities required. This experience must have included considerable customer service responsibilities required.
  • Experience with computerized accounting systems and advanced knowledge of software and systems required.

Knowledge, Skills, and Abilities:

  • Must possess strong customer service skills. Handle conflict with diplomacy and professionalism.
  • Work independently.
  • Must have exceptional computer skills.
  • Must have strong attention to detail, possess a sound understanding of cash handling, reconciliation and balancing skills.
  • Understand and resolve complex account inquiries.
  • Maintain confidential information.
  • Prioritize tasks, special assignments and meet tight deadlines
Physical Demands and Working Conditions:
  • Frequent m inimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal.
  • Frequent e xposure to routine office noise and equipment.
  • Occasional e xposure to hazards typically found in general office environments where there is rarely to no exposure to injury or accident.
Additional Working Demands / Conditions:

This position is considered essential personnel required to report for duty in response to community emergencies (e.g. natural disaster, fire, flood, blizzard, etc.).
