Job Summary:

We are seeking a highly organized and proactive Inventory & Facilities Operations Coordinator to manage inventory systems, vendor relationships, and facility operations. This role ensures the smooth day-to-day functioning of the building, accurate inventory tracking, and compliance with safety and documentation standards.

Pay Range is $19.00 to $26.15 per hour

Key Responsibilities

• Oversee inventory systems and maintain accurate tracking of supplies and equipment.
• Conduct regular inventory audits and reconcile physical counts with system data.
• Monitor stock levels and coordinate with procurement to ensure timely reordering.
• Investigate and resolve inventory discrepancies and shortages.
• Optimize storage methods to improve efficiency and reduce waste.
• Maintain monthly tool audits for the maintenance team.
• Track and report cost savings on all purchased items.
• Create and maintain vendor relationships, including HVAC, plumbing, and equipment service providers.
• Track purchase orders and ensure timely vendor payments.
• Maintain vendor contracts and track warranty status on applicable items.
• Schedule and track preventive maintenance, repairs, and facility inspections.
• Ensure compliance with OSHA guidelines and internal safety standards.
• Store all building-related documents securely and accurately.
• Maintain accurate records of maintenance activities, vendor contracts, and facility expenses.
• Coordinate across departments to support ordering and operational needs.
• Act as a liaison between the Facilities Department and other departments for facility-related concerns.
• Handle incoming communications related to facility requests and inquiries.
• Prepare and distribute internal notices regarding maintenance and operational updates.
• Assist in planning and executing facility-related projects, renovations, and event setups.
• Maintain accurate budgets and ensure availability of office equipment and supplies.
• Ensure compliance with organizational policies and health and safety regulations.

Qualifications

• Experience in inventory management, facilities coordination, or operations support.
• Strong organizational and problem-solving skills.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Office and inventory management systems.
• Familiarity with OSHA standards and vendor contract management is a plus.
• Ability to manage multiple priorities and work collaboratively across departments.
