Job summary

Foley Equipment, a family-owned company in Kansas, is seeking an Accounts Payable Representative to manage vendor invoicing, posting, and payments. You will support staff accountants and collaborate with Operations to automate processes.

The role requires experience in AP/AR, strong vendor relations, and a detail-focused approach. Travel for training or to assist at other locations may be needed.

Responsibilities

• Process accounts payable invoices with proper approvals and coding.
• Post vendor invoices and run check, ACH, and card payments.
• Reconcile vendor statements and resolve discrepancies.
• Assist staff accountants and support accounting processes.
• Coordinate with Operations to improve automation and efficiency.
• Travel for training or to assist at other locations.

Job description

As an Accounts Payable Representative, you will perform assigned accounts payable functions.

• Process accounts payable by reviewing invoices received from operations to insure proper approvals are provided, validate accuracy of coding, identify correct operating entity for entry, validate sales tax or calculate use tax, post vendor invoices to AP system, and process check, ACH, and credit card payment runs.


• Process machine accounts payable including reviewing machine transaction register for open estimates and validating transaction code for posting.


• Reconcile vendor statements including contacting vendors for missing invoices and distributing to appropriate operating personnel for coding.


• Respond to vendor correspondence and inquiries regarding non-payment, sales tax exemption renewals, and credit applications under management direction.


• Provide needed support and backup for Staff Accountants and the accounting processes.


• Communicate with Operations Team on accounting items to assist in process automation and improve efficiencies.


• Assist with the Cat invoicing process as needed.


• Assist with the travel and expense reporting process as needed.


• Assist with mail distribution and supply ordering as needed.


• Conform with, abide by, and enforce all expense policies and work procedures.


• Travel is required for training and/or to assist at other locations.

Our Ideal Candidate

• Previous accounting and/or accounts payable and accounts receivable experience


• Excellent customer relations skills.


• Strong computer skills and the ability to learn to effectively use company software – with training.


• Knowledge of basic accounting concepts and verbiage.


• Understanding of A/P and other accounting processes.


• Ability to multi-task and work in multiple systems at one time.


• Ability to work well within a team environment.


• Excellent attention to detail.


• Must be able to maintain confidential information
