The Springs Rescue Mission (SRM) Accounts Payable & Grant Billing Associate position provides both accounts payable processing and grant billing. A qualified candidate must be highly attentive to detail, have strong organizational skills, and easily adapt to a fast-paced, time-sensitive environment. Approximately 60% of this role will focus on accounts payable duties, including processing through Bill.com, vendor communications, and expense coding; and 40% on grant billing support to the Contracts & Grant Manager (CGM).
Duties & Responsibilities
Accounts Payable
- Process vendor invoices in Bill.com, ensuring accurate coding to the correct department, grant, expense account, and accounting period.
- Maintain vendor records, including requesting and collecting W-9s and other tax compliance documents.
- Reconcile vendor statements, research discrepancies, and resolve issues in a timely manner.
- Monitor invoice approval workflows and ensure payments are processed on schedule.
- Assist the Finance team during month-end close with accounts payable reporting and reconciliations.
- Track client eligibility and report outcome requirements to federal, state, and city grant/award administrators.
- Assemble required documentation and client tracking on a monthly basis.
- Assist with the preparation and submission of grant billings and management reports as assigned.
- Maintain grant audit files, including electronic storage of program documents and budget expenses.
- Partner with the Contracts & Grants Manager (CGM) on special data-related projects and timelines.
- Participate in department and interdepartmental meetings as needed.
- Obtain certification in CBMS and Client Tracker software, or other systems as required.
- Attend all required meetings and review SRM emails regularly.

Education/Experience
- High school diploma or equivalent required
- 3 to 5 years prior experience processing financial accounting activity on an automated general ledger system is desired
- Prior experience in accounts payable; experience with Bill.com strongly preferred
- Data tracking experience is highly desirable
- Must be proficient in Microsoft Excel, Word, and Office
- High comfort level in working in an autonomous office setting
- Collective and/or collaborative problem-solving skills a must

- Proficient in MS Office/Office 365 with expertise in Excel, Word, and Outlook
- Exceptional communication, time management, and organizational skills
- Expert written and verbal communication skills.
- Expert time management skills for the completion and submission of monthly client tracking data.
- Well organized, detail oriented, and able to effectively multi-task
- Comfortable with data entry and client tracking, working with Excel spreadsheets and working in an autonomous setting.
- Ability to adopt to a fast-paced work environment.
Working Conditions/Physical Factors
Occasionally = 1%-33%; frequently = 34%-66%; continuously = 67%-100%.
Typical office working environment with routine movement throughout the campus of SRM.
Occasionally: climbing stairs, must be able to lift up to 25 pounds

Salary & Benefits include the following: $21.00 - $23.00/hour DOE.
Benefits include: medical benefits with SRM paying 85% of the medical premium, voluntary Dental, Vision, Allstate Accident Plan, SRM-paid Short-Term and Long-Term Disability, Life Insurance, and AD&D. Also offered are 8 paid holidays, 21 days of accrual PTO, paid “Soul Care Retreat” days (up to 4 depending upon availability), and a 403b retirement plan with SRM-match after one (1) year, 100% vested beginning DOH; Benefits are subject to change based on reevaluation or benefit plan changes annually.
Benefits begin at 1st of the following month after completing a full 30 days of employment (start date is January 2025, benefits initiate 1 March 2025).
