Qualifications

  • Verify transactions comply with policies and procedures.

  • Ensure timely payments according to terms.
  • Process security refunds.
  • Assist in reconciling AP transactions and posting payments.
  • Research past-due balances.
  • Assist month-end and year-end closing processes.
  • Support internal audits with documentation.
  • Collaborate with accounting team and provide back-up support.

The Accounts Payable team at Essex manages the Company's invoices, security deposit refunds, and provides accounting assistance to the operations team. The Accounts Payable Associate will play a key support role on the team and be responsible for providing excellent customer service.

WHAT YOU WILL DO:
  • Receive, review and process vendor invoices, ensuring accuracy in coding, matching with Pos and routing to necessary approvals in Payscan.
  • Verify that transaction complies with financial policies and procedures.
  • Prepare and process payment runs, including checks, EFT and Pcontrol.
  • Ensure all payments are made in a timely manner, adhering to payment terms and company policies.
  • Process Security refunds in a timely manner.
  • Assist in reconciling accounts payable transactions, ensuring that all payments are accounted for and properly posted.
  • Research past due balances thoroughly.
  • Comply with state laws regarding resident move outs.
  • Assist in the month end and year end closing processes by ensuring that all invoices and payments are recorded in the correct period.
  • Assist with internal audits by providing documentation and information related to Accounts Payable.
  • Collaborate with other members of accounting team to support overall department functions.
  • Provide back up support for other team members.
  • Pick up and distribute mail.
  • Participate in training and development opportunities to enhance skills and knowledge.
WHAT YOU WILL NEED:
  • High school diploma or GED equivalent is required.
  • Experience performing high volume data entry in a fast-paced environment.
  • Knowledge of Yardi and/or property management preferred.
  • Knowledge of Purchase Order process preferred.
  • Computer skills, including basic knowledge of Microsoft Word and Outlook, and strong knowledge of Excel.
  • Must be able to prioritize workload and meet deadlines, while maintaining strong attention to detail and high level of accuracy.
  • Ability to handle stressful situations in a non-confrontational, problem-solving manner is required.
  • Effective communication and listening skills are necessary.
  • The ability to work well in a team environment is essential. This includes placing the overall needs of the professional team above personal preferences to accomplish work objectives.
