In this role, you'll perform a broad range of accounting, grant, and financial support functions that keep our organization strong and compliant. From processing accounts payable and reconciling bank accounts to preparing journal entries and supporting payroll, your work will ensure our transactions are accurately recorded, properly documented, and compliant with organizational policies, grant agreements, and generally accepted accounting principles.
As part of our finance team, you'll review invoices for accuracy and grant compliance, code expenditures to the appropriate funding sources, and maintain vendor records, W-9 documentation, and annual 1099 reporting. You'll also assist with monthly and year-end closing activities, prepare schedules for annual audits and monitoring reviews, and help maintain the strong internal controls that protect the integrity of our financial information.

This full-time, non-exempt position starts at an hourly wage between $27.00 and $37.00, depending on experience. We're looking for a detail-driven professional with an Associate degree in Accounting, Finance, Business Administration, or a closely related field (Bachelor's preferred) and a minimum of three years of progressively responsible accounting experience. Experience with nonprofit organizations, governmental grants, or federally funded programs is highly desirable.

The Accounting Specialist performs a broad range of accounting, grant, and financial support functions for Smart Workforce Center. The position is responsible for accounts payable, accounts receivable, payroll assistance, financial reporting, maintenance of accounting records, and compliance with federal, state, local, and private funding requirements. The position ensures transactions are accurately recorded, properly documented, and compliant with organizational policies, grant agreements, and generally accepted accounting principles.
Process accounts payable, ACH and check payments, and corporate credit card transactions.
Review invoices for accuracy, appropriate approvals, allowability, and grant compliance.
Code expenditures to the appropriate funding source, cost category, and general ledger accounts.
Prepare journal entries and maintain supporting documentation.
Reconcile bank accounts, general ledger accounts, payroll accounts, and subsidiary ledgers.
Maintain vendor records, W-9 documentation, and annual 1099 reporting.
Support payroll processing, benefit reconciliations, and payroll allocations as needed.
Maintain fixed asset and inventory records and prepare required property reports.
Assist with monthly and year-end financial closing activities.
Prepare schedules and documentation for annual audits, monitoring reviews, and financial reporting.
Utilize MIP Fund Accounting, Microsoft Excel, and other financial systems to maintain accurate accounting records.
Maintain strong internal controls and safeguard confidential financial information.
Provide excellent customer service to staff, vendors, funding agencies, and external partners.
Perform other related duties as assigned.
Knowledge of GAAP, nonprofit accounting principles, grant accounting, and internal controls.
Understanding of federal and state grant regulations and cost principles.
Advanced Microsoft Excel skills and proficiency with accounting software; MIP Fund Accounting preferred.
Ability to analyze financial data, reconcile complex accounts, and resolve discrepancies.
Strong organizational skills with attention to detail and the ability to meet multiple deadlines.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and exercise sound judgment.
Associate degree in Accounting, Finance, Business Administration, or a closely related field required; Bachelor's degree preferred.
