Job description

Description

Under the direction of the Director of Finance and Accounting, the Accountant supports the Finance team’s core accounting operations, including month-end close, general ledger maintenance, accounts payable and receivable, and cash management. This position records transactions in accordance with Generally Accepted Accounting Principles (GAAP), prepares account reconciliations with complete supporting documentation, monitors budgets, and supports financial reporting, audit, and compliance needs. This role is well suited to an experienced, detail-oriented accountant who can work independently, take ownership of close, reconciliation, and reporting responsibilities, and guide the work of the finance intern. As the team grows, the Accountant will have opportunities to deepen technical expertise and develop leadership skills through reviewing close work and reconciliations, improving accounting processes, and collaborating with the Director of Finance and Accounting on key initiatives.

Please note that for external candidates, the expected salary range is approximately $70,000–$80,00 depending on experience, qualifications, and internal equity.

Essential Duties and Responsibilities

1. Month-End Close and General Ledger

  • Prepare journal entries, including accruals, prepaid expenses, deferrals, allocations, and reclassifications, and meet established close deadlines.
  • Prepare monthly balance sheet account reconciliations with complete supporting documentation, and resolve reconciling items in a timely manner.
  • Reconcile bank, credit card, and other cash accounts to the general ledger.
  • Maintain the general ledger, investigate unusual activity, and prepare recurring close schedules (e.g., fixed assets, prepaid expenses, accruals, and revenue).
  • Research and resolve discrepancies and accounting questions, escalating complex matters as appropriate.
  • Support quarterly and year-end close and the annual audit by preparing schedules, workpapers, and requested documentation.
  • Review journal entries, reconciliations, and other close work prepared by the finance intern, and over time review reconciliations and close deliverables prepared by other team members.

2. Payables, Receivables, and Cash

  • Process accounts payable and employee expense reimbursements, ensuring accuracy, proper approvals, policy compliance, and timely payment.
  • Maintain vendor files, collect W-9s, respond to payment inquiries, and support year-end 1099 reporting.
  • Record payments and deposits as they are received and track outstanding receivables.
  • Monitor cash receipts and disbursements and provide inputs to the cash flow forecast.
  • Review expenditure activity for appropriate coding, approvals, and compliance with internal policies.

3. Revenue and Financial Reporting

  • Record revenue, including contributions, grants, and contracts, in accordance with GAAP, and track restricted and unrestricted funds appropriately.
  • Assist with budget tracking, budget-to-actual and variance analysis, and other financial reports requested by leadership.
  • Prepare supporting documentation and financial information for funders, auditors, and other external stakeholders as needed.
  • Maintain supporting documentation for regulatory and nonprofit‑specific filings, including IRS Form 990.
  • Reconcile donor or contract records to the general ledger as applicable.

4. Administrative Responsibilities

  • Identify and recommend improvements to accounting processes, tools, and documentation, including opportunities for automation.
  • Partner with colleagues across departments to resolve financial questions and support accurate, timely accounting operations.

Perform other duties as assigned.
