Job summary

ADESA, a Carvana-owned company, is seeking an organized Administrative Accounts Associate to manage customer account operations at our US sites. You will handle invoicing, A/R, payment processing, and ensure data integrity for commercial and dealer partners.

You will support sale preparation, reconcile transactions, assist the sales team, and coordinate with cross-functional teams to maintain accurate records and compliance with policies.

Qualifications

  • Daily Account Operations: Manage invoicing, Accounts Receivable (A/R), and payment processing.
  • Inventory & Reporting: Oversee high-level inventory monitoring and reporting (pre- and post-sale).
  • System Accuracy: Ensure all systems are updated accurately.
  • Sale Preparation: Ensure lineup management, fee posting, and recon activities.
  • Financial Reconciliation: Detailed reconciliation of transactions post-auction.
  • Sales Support: Provide elevated administrative support to the sales team.
  • Data Integrity: Maintain accurate vehicle and customer data in systems.
  • Compliance Oversight: Ensure policies and laws are followed.

Responsibilities

Role and Team
  • Reporting to the Commercial Accounts Manager (CAM) or designated leader, you will be responsible for the administrative management of customer accounts. You will serve as the primary point of contact for administrative operations, ensuring that all financial, inventory, and sale day activities are executed accurately to provide a seamless experience for our commercial and dealer partners.
Responsibilities
  • Daily Account Operations: Manage complex daily account operations, including professional customer communication, invoicing, Accounts Receivable (A/R), and payment processing.
  • Inventory & Reporting: Oversee high-level inventory monitoring and reporting (both pre- and post-sale).
  • System Accuracy: Ensure all systems are updated accurately while coordinating cross-functional follow-up with internal teams and vendors.
  • Sale Preparation: Ensure high accuracy in sale preparation and execution, including lineup management, fee posting, and reconditioning (recon) activities.
  • Financial Reconciliation: Perform detailed reconciliation of transactions to ensure all account records are accurate following auction activities.
  • Sales Support: Provide elevated administrative support to the sales team and resolve complex customer inquiries or account discrepancies.
  • Data Integrity: Maintain accurate data entry for vehicle information, customer records, and transaction history in company systems.
  • Compliance Oversight: Ensure all company policies, administrative standards, and state/federal laws are followed.
  • General Duties: Perform any other duties assigned by the designated manager.

Qualifications
  • High School diploma or GED preferred
  • Must be 18 years of age and have a valid driver’s license that meets the requirements
  • Able to safely drive a variety of vehicle makes, models, and sizes
  • Administrative Excellence: Highly organized with a strong ability to manage complex financial data, invoicing, and reporting.
  • Customer Excellence: Strong customer service skills with a focus on professional verbal and written communication.
