Job description

The University of Iowa Health Care, Department of Urology seeks to hire an Academic or Clinical program Management Associate to provide administrative oversight, coordination, leadership and curricular expertise for the Department of Urology Residency Program.

This position is eligible for a combination of on-campus and remote work. Remote work must be performed at an offsite location within the state of Iowa. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location. Work arrangement options will be discussed during the hiring process.

Duties And Responsibilities
  • Manage the day-to-day operations for the Urology Residency Program.
  • Assist the Program Director on an ongoing basis to ensure the residency program is in compliance with the ACGME, RRC, and American Board requirements. Document ACGME recertification. Implement preparations for department faculty, residents, and support staff for site visits. Gather data and prepare reports for accreditation and regulatory agencies. Assist Program Director with applicable accreditation reports. Participate in internal review.
  • Possesses knowledge of the Institutional and Program Requirements for the Accreditation Council for Graduate Medical Education, applicable professional societies and boards, and program specific curricular requirements.
  • Assist the Program Director in the development and implementation of specific learning objectives for each residency rotation.
  • Advise prospective students regarding application procedures and serve as primary point of contact for interviewees, potential recruits, as well as current and graduated learners.
  • Correspond with clinical services and departments regarding curricular matters, rotation assignments and changes, and vacations and absences.
  • Oversight of resident licensure and training certification renewal (resident license, state and federal drug licenses) (BLS, ACLS, ALSO, ATLS, NRP, PALS).
  • Coordinate and manage residency recruitment processes including screening, selection, and match process of applicants to the program. Manage Electronic Residency Application Service (ERAS) interaction. Write, edit and revise recruitment correspondence and brochures. Assist Program Director to establish recruitment policy.
  • Represent training program at all recruitment events.
  • Serve as Liaison to residents regarding human resources related issues. Manage onboarding processes. Oversee resident licensure renewal and training certification renewal.
  • Manage resident schedules, absence and leave requests, compliance with duty hours policies and procedures, mandatory UI Health Care compliances, program core competencies, graduation requirements.
  • Manage residency evaluation system. Prepare evaluations and summary materials related to individual residents for faculty review.
  • Maintain system for Accreditation Council of Graduate Medical Education, collect data and complete annual program reports.
  • Review residency and fellowship curriculum requirements and changes with the Program Director.
  • Develop residency training materials including, but not limited to, the program brochure, resident handbook, syllabi, surveys, and accreditation manual. Recommend revisions to residency program policies and procedures.
  • Create rotation schedules including goals and objectives that best fit the learners’ academic needs.
  • Develop residency program budget and oversee planning and purchases for residency program activities, events and curriculum expense. Purchase program approved academic materials for learners. Verify all residency expenditures.
  • Attend monthly and periodic program related meetings.
  • Other duties and responsibilities as assigned.

Required Qualifications
  • Bachelor’s degree or an equivalent combination of education and experience.
  • 1-3 years of related administrative and program management experience.
  • Excellent written, verbal and interpersonal communication skills.
  • Must be proficient in computer software applications such as Word, Excel, Outlook.
  • Demonstrated ability to work independently, effectively and efficiently.
Desirable Qualifications
  • Minimum of one year experience working with graduate medical education programs and/or medical clerkship programs.
  • Experience working with MedHub, ICON, and MAUI software.
  • Experience working with student populations.
  • Knowledge of University, University of Iowa Health Care and/or College of Medicine policies, procedures and regulations.
