We are looking for a Workplace Operations Specialist to help ensure the smooth day-to-day operation of our office and contribute to maintaining an organized, efficient, and sustainable workplace.
In this role, you will be responsible for coordinating a wide range of operational processes, from office operations and vendor management to procurement and facility-related operations, helping create a workplace where our teams can perform at their best.
Responsibilities
- Ensure the smooth and efficient day-to-day operation of the office.
- Manage communication with building management, external service providers, and vendors; monitor service delivery and ensure effective coordination.
- Coordinate office maintenance, repairs, renovations, and other facility-related operations.
- Oversee office cleaning and hygiene standards; coordinate cleaning staff/services and ensure the workplace remains clean, tidy, and well-maintained.
- Oversee office security operations; coordinate access control, security personnel/systems, and ensure the safety of the workplace, employees, and company assets.
- Manage office pantry and kitchen supplies; monitor stock levels, replenish food and beverage inventory, and coordinate related purchases.
- Conduct market research, obtain quotations, and manage procurement processes for office supplies, equipment, and other operational needs.
- Coordinate incoming and outgoing documents, shipments, and courier services.
- Plan and coordinate transportation and other operational arrangements related to business travel.
- Support the operational execution of internal company events by coordinating logistics, materials, procurement, and other operational needs.
- Maintain office-related documentation, records, and operational documentation; manage operational processes with government institutions such as notaries and tax offices.
Requirements
- Bachelor's degree in a relevant field.
- At least 2 years of experience in Workplace Operations, Office Management, Administrative Affairs, or a similar operational role.
- Proficiency in Microsoft Office applications.
- Ability to manage multiple operational processes simultaneously.
- Strong communication and coordination skills.
- Ability to prioritize effectively and thrive in a fast paced work environment.
- Valid Class B driver's license and active driving experience.
- Good command of written and spoken English is a plus.
