Job Description
The Site HR and Administrator is responsible for ensuring the smooth operation of HR, personnel logistics, and general administrative functions at the project site. This role supports site leadership by managing employee relations, coordinating workforce logistics, maintaining legal compliance, and upholding company policies.
Key Responsibilities
Human Resources
- Manage onboarding and offboarding processes for site employees and contractors.
- Ensure completeness and compliance of personnel files in line with labor laws (e.g., 4857) and company standards.
- Coordinate HR documentation including timesheets, contracts, job letters, and disciplinary records.
- Handle employee relations matters such as conflict resolution and grievance management.
- Monitor compliance with health & safety, labor regulations, and internal HR procedures.
Administration
- Organize and maintain site documentation such as access permits, transportation logs, accommodation lists, and attendance records.
- Coordinate logistical arrangements for employees including transportation, meals, and housing.
- Manage office supplies, utilities, vendors, and service contracts (cleaning, security, etc.)
- Support work permit, residency, and immigration procedures for international personnel.
- Assist in planning and coordinating meetings, site visits, audits, and official inspections.
- Prepare regular HR and administrative reports for management.
Compliance & Reporting
- Ensure adherence to company policies and relevant regulations.
- Maintain accurate and confidential HR and administrative records.
- Support internal and external audits (labor, HSE, vendor compliance).
- Prepare documentation required for inspections by authorities or partners.
The Successful Applicant
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 3-5 years of experience in a similar role, ideally in construction, oil & gas, energy, or large-scale industrial projects.
- Strong knowledge of labor laws and HR processes.
- Excellent communication skills in English; strong documentation discipline.
- Proficiency in MS Office suite (Excel, Word, Outlook).
- Highly organized, detail-oriented, and able to manage multiple tasks in fast-paced or remote site environments.
- Strong problem-solving mindset, cultural awareness, and ability to maintain confidentiality.
- Willingness to be based at the project site (rotation options may apply).
