Job summary

The Instant Group in Istanbul is seeking an experienced Workplace & Facilities Manager to run onsite operations for a leading brand. You will lead a small team, manage all workplace services, and maintain strong client relationships to deliver a seamless office experience across 50,000 sqft.

You will oversee supplier performance, health and safety, and continuous improvement initiatives, ensuring SLAs/KPIs are met and costs are managed within budget.

Qualifications

• 3+ years managing a large, busy workplace with direct team leadership.
• Strong Facilities Management background (hard & soft services).
• Experience with outsourced supplier management, including food & beverage.
• IOSH Health & Safety qualification (NEBOSH desirable).
• Knowledge of workplace compliance, documentation, and H&S legislation.
• Experience with P&L oversight desirable.
• Skilled in Microsoft Office and confident in presenting.
• Experience in corporate real estate or large office facilities.
• Comfortable working in a fast-paced, agile, and ambiguous environment.

Responsibilities

• Create a welcoming, collaborative workplace and foster stakeholder relationships.
• Develop initiatives to enhance community engagement and workplace culture.
• Support events and activities that strengthen the employee journey.
• Ensure all hard and soft services meet SLAs/KPIs.
• Monitor supplier performance and take corrective action.
• Manage landlord and third-party relationships, service charges, attend meetings.
• Oversee café operations (outsourced food & beverage).
• Ensure health & safety compliance; act as Chief Fire Warden and First Aider.
• Lead a team of three and plan career development.
• Manage annual leave and resource allocation.
• Oversee supply chain management and negotiate contracts.
• Track metrics, prepare reports, contribute to reviews.
• Raise and receipt purchase orders; support financial processes.
• Identify opportunities for workplace improvements and innovation.
• Support office moves and wider business initiatives.
