Overview
The Warehouse (Logistics) Coordinator is responsible for coordinating customer orders, managing export and domestic shipments, and ensuring smooth end-to-end logistics operations. This role acts as the key liaison between customers, internal departments, freight forwarders, and warehouse teams to ensure timely and accurate delivery of goods while maintaining compliance with company and regulatory requirements.
Responsibilities
1. Shipment Coordination & Logistics Planning
- Plan and arrange export/import shipments in coordination with freight forwarders and warehouse.
- Schedule container bookings, truck arrangements, and monitor loading/unloading activities.
- Ensure shipments follow FIFO (First In, First Out) and customer delivery timelines.
- Prepare and verify shipping documents: commercial invoice, packing list, Bill of Lading, COO, etc.
- Liaise with transporters for two-way deliveries between warehouse and factory.
- Ensure proper packing, labelling, and storage procedures are followed.
2. Warehouse & Inventory Support
- Coordinate with warehouse for stock availability, space management, and loading plans.
- Support monthly and annual stock take activities.
- Maintain accurate records of incoming/outgoing stock and shipment details.
- Prepare monthly stock and logistics performance reports.
3. Reporting & Documentation
- Generate daily, weekly, and monthly shipment and order status reports.
- Track shipment progress, container returns, and POD (Proof of Delivery) submissions.
- Maintain systematic filing of shipping and customer service documentation for audit purposes.
4. Compliance & Process Improvement
- Ensure all logistics activities comply with company SOPs, safety, and regulatory standards.
- Work closely with Finance for invoice validation and payment follow-up.
- Participate in continuous improvement initiatives to enhance supply chain efficiency.
Qualifications
Education:
- Diploma or Degree in Logistics / Supply Chain / or in any field (or equivalent experience).
Experience:
- Minimum 2–3 years experience in logistics coordination, shipping, or customer service.
- Experience in export/import documentation, freight coordination, and warehouse communication preferred.
Skills & Competencies:
- Good knowledge of Incoterms, HS Codes, customs clearance procedures, and shipping documents.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with ERP systems (SAP )preferred.
- Strong communication, coordination, and interpersonal skills.
- Detail-oriented with good time management and multitasking ability.
- Ability to work under pressure and meet shipment deadlines.
