Position Title:
Admin Staff – Warehouse & Logistics

Department:

Warehouse & Logistics Supervisor / Manager

Job Summary

Responsible for providing administrative support to the warehouse and logistics operations, ensuring accurate documentation, efficient coordination of deliveries/shipments, and compliance with company procedures.

Key Responsibilities

1. Administrative Support

  • Prepare and maintain accurate records for incoming and outgoing goods.
  • Update inventory and stock movement in the system.
  • Prepare delivery orders, invoices, packing lists, and shipping documents.
  • Handle data entry and filing of warehouse and logistics records.

2. Coordination & Communication

  • Liaise with transporters, suppliers, and customers for delivery arrangements.
  • Coordinate with the warehouse team for loading/unloading schedules.
  • Communicate shipment status updates to relevant departments.

3. Inventory Control

  • Assist in periodic stock counts and reconciliation.
  • Monitor stock levels and inform supervisor of low inventory.

4. Compliance & Safety

  • Ensure documentation complies with internal SOPs and regulatory requirements.
  • Maintain proper filing of all logistics-related documents.

5. Other Duties

  • Support other ad-hoc warehouse/logistics tasks assigned by management.
  • Assist in improving workflow and administrative processes.
Requirements
  • Minimum GCE ‘O’ Level or equivalent; Diploma preferred.
  • At least 1–2 years’ experience in warehouse, logistics, or related administrative roles.
  • Proficient in Microsoft Office (Excel, Word) and basic ERP/WMS systems.
  • Good communication and coordination skills.
  • Detail-oriented, organized, and able to work in a fast-paced environment.
