The job

The Operations Virtual Assistant will provide essential support to TRIA’s operations team with a focus on automating and enhancing workflow processes for greater scalability and efficiency. This individual will facilitate day‑to‑day operational tasks, streamline documentation, and ensure accurate reporting to drive seamless operations. The role is designed for a highly detail‑oriented professional who can work independently as well as collaboratively with cross‑functional teams.

The scope

  • Assist in the design and documentation of standard operating procedures (SOPs) for key operational workflows, with a focus on automating recurring tasks where possible.
  • Maintain and regularly update spreadsheets, databases, and process documentation using Excel and Word to ensure accurate record‑keeping.
  • Assist in the implementation, testing, and refinement of automation tools and digital systems that support operational efficiency.
  • Monitor the progress of automation initiatives, promptly identifying and flagging discrepancies, and suggesting improvements for more seamless workflows.
  • Ensure data accuracy and consistency in all aspects of data management and documentation.
  • Communicate proactively with team members to clarify requirements, gather information, and resolve operational issues as they arise.
  • Collaborate with management in supporting ERP and data migration projects, ensuring alignment with operational objectives.
  • Support knowledge management efforts by updating internal SOPs and guides, and helping teams transition to automated systems to maintain process continuity and compliance.

The person

  • Working proficiency in English and conversational ability in Chinese to effectively communicate with Chinese‑speaking clients.
  • Demonstrated experience with Microsoft Excel, Word, and PowerPoint, with familiarity in formatting documents and collaborating on cloud‑based platforms with teams.
  • Strong attention to detail, evidenced by consistent accuracy in repetitive and process‑oriented tasks.
  • Basic knowledge of finance and data management principles.
  • Exceptional organizational skills, a process‑driven mindset, and the capability to work independently with minimal supervision.
  • Prior experience supporting business operations, preferably with exposure to automation tools or workflow platforms, is an advantage.
  • Reliable internet connectivity, and proficiency in using digital communication tools such as WhatsApp and Microsoft Teams.

Immediate availability is required. This is a part‑time position, with a minimum commitment of three working days per week. The successful candidate must be able to align with Singapore time zone (SGT) and respond promptly during working hours for coordinated team execution.
