Our Principal Consultant works with organizations aligned with Fairtrade International standards and sustainable business practices, traveling extensively to engage with clients, producers, and stakeholders worldwide. We need someone who can be both the operational backbone and an engaged team member—ensuring seamless logistics, impeccable systems, and contributing to the actual consulting work where it can add value.
What You’ll Do
Consulting Work Support
- Conduct research on social topics, supply chain practices, and sustainability initiatives
- Compile and synthesize research findings into usable formats
- Assist in creating project plans and timelines for client engagements
- Prepare and refine client presentations to ensure professional quality
- Help develop case studies and impact reports
- Proofread and edit consulting deliverables for clarity and consistency
- Create visual representations of data and project workflows
- Organize and summarize stakeholder feedback and interview findings
Financial & Administrative Operations
- Maintain accurate bookkeeping records and expense tracking
- Process invoices, receipts, and financial documentation
- Prepare monthly financial summaries and reports
- Coordinate with accountants during tax filing periods
- Track project budgets and expenses
Document & Information Management
- Establish and maintain organized digital filing systems for client projects, research materials, contracts, and correspondence
- Create and manage a centralized document repository with clear naming conventions
- Scan, digitize, and organize physical documents
- Ensure confidential client information is properly secured
- Maintain version control for important documents and deliverables
- Build a knowledge management system for consulting resources
Meeting & Client Coordination
- Schedule and coordinate client meetings across multiple time zones, including preparing agendas and materials
- Take detailed meeting notes and distribute action items
- Follow up with clients and stakeholders as needed
Business Operations & Reporting
- Create professional presentations and client-facing documents
- Generate monthly business reports and performance dashboards
- Prepare client proposals, pitch decks, and project summaries
- Design templates for consistent branding across deliverables
What We’re Looking For
Essential Requirements
- Singapore Citizen (mandatory by law)
- Proven experience in administrative, executive assistant, or virtual assistant roles
- Genuine interest in fair trade, ethical supply chains, sustainability, or social impact work
- Exceptional organizational skills with meticulous attention to detail
- Advanced proficiency in Microsoft Office Suite (especially PowerPoint and Excel) and Google Workspace
- Ability to work independently with minimal supervision
- Comfortable with technology and quick to learn new software tools
- Reliable internet connection and suitable home office setup
Desired Qualifications
- Strong presentation design skills and data visualization capabilities
- Experience creating process documentation
- Project management or coordination experience
- Understanding of confidentiality and discretion when handling sensitive information
