Job summary

A healthcare recruitment agency in Singapore is looking for an Administrative Coordinator to manage staff rosters, coordinate meetings, and support training initiatives. The ideal candidate will have a diploma and at least 2 years of relevant experience, preferably within healthcare. The position requires strong proficiency in Microsoft Office Suite, especially Excel, and the ability to work both independently and collaboratively.

Qualifications

Responsibilities

  • Maintain and update clinical staff rosters, including leave schedules and on-call arrangements.
  • Coordinate logistics for clinical and leadership meetings.
  • Manage complex leadership calendars for effective time management.
  • Coordinate staff training plans with internal and external partners.
  • Manage training records and track Continuing Professional Education (CPE) points.
  • Liaise with Facility Management to resolve office maintenance issues.

Job description
Administrative Coordination & Meeting Management
  • Maintain and update clinical staff rosters, including leave schedules and on-call arrangements.
  • Coordinate logistics for clinical and leadership meetings (scheduling, venues, minutes, follow-ups).
  • Manage complex leadership calendars to ensure effective time management.
Training & Development Support
  • Coordinate staff training plans with internal and external partners.
  • Manage training records, track and facilitate Continuing Professional Education (CPE) points.
  • Document and report training progress; process EPIC system access requests.
Office & Facility Management
  • Liaise with Facility Management, vendors, and CIFO to resolve office maintenance issues.
  • Process bills and claims promptly for payment.
  • Conduct office orientations for new hires, including safety and security briefings.
  • Manage office access control across RHSO locations and support weekend community health events.
Requirements
  • Diploma in any discipline 2+ years of relevant administrative experience, preferably in healthcare settings
  • Ability to work independently and collaboratively in a fast-paced environment
  • Strong proficiency in Microsoft Office Suite, with advanced Excel skills
