A reputable organization in Singapore seeks an Office Administrator for a 6-month role (extendable). Responsibilities include overseeing office management, maintaining databases for stakeholders, handling enquiries, and providing administrative support. The ideal candidate holds a diploma, is proficient in Microsoft Office, and possesses strong communication and organizational skills. This role offers a dynamic work environment where you can demonstrate good customer service standards.
Monday to Thursday: 8.30AM - 6.00PM
Friday: 8.30AM to 5.30PM
Contract period: 6 months (extendable up to 3 months)
Oversee the day-to-day management of premises, including inventory, office equipment, stationery, and vendor coordination.
Liaise with facilities management teams, security, and vendors/contractors on office-related matters.
Maintain and manage databases for Panels, Committees, and Boards, including appointments, renewals, invoicing, and collection of membership.
Liaise with the Board, Committees, and other stakeholders on ad-hoc matters as required.
Handle phone, email, and in-person enquiries, responding where appropriate or directing enquiries to the relevant team or department.
Manage and coordinate general correspondence.
Provide logistical and administrative support for Board, Committee, and other meetings, including scheduling, preparation, and set-up.
Support events and assist with external visits.
Organize and coordinate regular staff welfare and team-bonding activities.
Prepare monthly and ad-hoc administrative reports.
Support company secretarial and governance-related administrative matters.
Process invoices, travel arrangements, claims, and other administrative matters.
Provide administrative support to the Chief Executive and his deputies as required.
Undertake other duties and responsibilities as may be assigned from time to time in support of office operations.
Diploma holder with relevant experience in office administration or office management.
Proficient in Microsoft Office and comfortable working with office databases.
Meticulous, well-organized, and able to manage multiple tasks effectively, with a strong sense of ownership and initiative.
Self-motivated, dependable, and hard-working, with the ability to work independently and collaboratively as part of a team.
Strong interpersonal and communication skills, with an amiable, professional, and approachable demeanour.
Demonstrates good customer service standards and is comfortable in a front-facing role, including handling enquiries, liaising with external vendors and contractors, and engaging members on renewal matters.
