Join Portcullis as a Trust Administrator

The Portcullis Group is a multi-family office platform supporting private clients with a full suite of Trustee, fund, investment and family office services. Working within the Trust Department you will be responsible for a portfolio of clients and assisting them with the establishment and administration of trusts and underlying corporate structures across various jurisdictions.

We are now inviting passionate individuals to join our dynamic team as a Trust Administrator.

In this role, your main responsibilities will be:

  • Proactively cultivate and maintain excellent, responsive client relationships by acting as a dependable point of contact, ensuring client needs are addressed promptly, confidentially and effectively.

  • Competently and promptly execute the client acceptance process, ensuring the satisfactory and timely completion of all Know Your Customer (KYC) procedures to uphold regulatory compliance and facilitate a smooth onboarding experience.

  • Ensure the meticulous and proactive administration of trusts and trust assets, promptly identifying and escalating administrative issues, red flags, inconsistencies, and irregularities to senior management to safeguard client interests and assets.

  • Diligently assist in carrying out the fiduciary duties of the trustee, ensuring all actions are fully compliant with relevant trust laws and trust documentation, providing clients with confidence in our service.

  • Maintain comprehensive, accurate, and easily accessible record-keeping (both physical and digital) to ensure transparency and facilitate prompt retrieval for client queries or compliance reviews.

  • Conduct responsive and ongoing monitoring of trust files, including but not limited to the timely updating of due diligence, transactional reviews, and monitoring of investment performance (where required), to provide clients with up-to-date information.

  • Efficiently discharge duties as “B” signing authority of PTSL (where required) for bank accounts where PTSL is trustee or provides administration, ensuring timely and accurate execution of client transactions.

  • Perform all work in a competent and compliant manner, strictly adhering to PTSL’s policies and procedures and the regulations and codes applicable to the private trust industry, thus delivering a secure and reliable service.

  • Undertake comprehensive risk reviews for trust files in a timely and accurate manner to ensure the ongoing security and compliance of client structures.

  • Ensure the timely and accurate completion of all internal checklists to maintain high standards of administrative quality and efficiency, allowing for responsive client service.

  • Monitor income generated by trusts administered by you and ensure timely and accurate invoicing is completed, facilitating clear and professional financial communication with the client.

We are looking for candidates who meet the following criteria:

  • Bachelor’s Degree in Law, Business Administration, Accounting, or a related field

  • Experience in trust administration or corporate governance, including preparing trust and corporate documents

  • Good knowledge of regulatory requirements, compliance frameworks, and anti-money laundering (AML) laws

  • Proficiency in managing trust software systems and maintaining accurate records

  • Excellent communication skills to liaise with stakeholders, including settlors, beneficiaries, bankers, and advisors

  • Attention to detail and strong organizational skills to manage multiple tasks and deadlines effectively

  • Familiarity with opening and managing private/corporate bank accounts and ensuring compliance with jurisdictional regulations
