Training Administrator (Talent Development & Management)
Overview
The Training Administrator supports the full spectrum of training operations, ensuring accurate records, smooth coordination, and compliance with ECDA requirements. This role is essential in strengthening our early childhood workforce through efficient training processes and reliable administrative support.
Key Responsibilities
Training Operations
- Manage course registrations, attendance, payments, and invoicing.
- Prepare and issue training certificates; ensure timely uploads to One@ECDA.
- Coordinate training logistics with centres, vendors, and internal teams.
Systems & Compliance
- Maintain user accounts and CPD submissions in CMS and One@ECDA.
- Perform daily checks to ensure data accuracy and compliance.
- Support audits and statutory reporting (e.g., SOP/GCC, Child First Aid).
Attendance & CPD Management
- Oversee QR-based attendance tracking.
- Verify CPD hours and support quarterly submissions to ECDA.
Funding & Claims
- Process monthly salary support claims (MHG, CCP).
- Manage absentee payroll (AP) submissions under WSG.
- Track grant utilisation and reporting timelines.
Sponsorships & Bonds
- Administer sponsorship agreements, completion letters, and study loans.
- Handle bond breakage calculations and repayment tracking.
Data & Reporting
- Maintain master training data and support CPD tracking.
- Prepare training statistics and reports for management.
- Identify and correct data discrepancies.
General Support
- Assist with administrative tasks, audits, and workflow improvements.
- Support digitalisation initiatives using MS Forms, Excel automation, and other tools.
Requirements
Education & Experience
- NITEC / Higher NITEC / Diploma in Business Administration, HR, or related fields.
- 0–2 years of administrative experience (HR or training coordination preferred).
Skills & Competencies
- Strong administrative and coordination skills.
- High attention to detail and accuracy in data entry.
- Proficient in MS Excel, Word, and PowerPoint.
- Good communication and stakeholder management.
- Ability to handle confidential information professionally.
