The opportunity

To assist in the preparation of high-quality tender submissions, including understanding the Singapore tender landscape, conducting research and business intelligence, maintaining updated records and detailed information to support business analytics, and communicating critical information effectively with cross-functional staff and senior stakeholders to secure profitable bids and mitigate risks.

To administer all contracts in accordance with contract terms and company policies to ensure the fulfilment of forecasted sales quantities, maximize revenue, and avoid penalty risks.

How you’ll spend your day
  • Seek and shortlist tenders for participation
  • Liaise with cross-functional departments to ensure all documentation and information required are contained within the tender submission
  • Coordinate with the Manager to review tender documentation, including pricing details, to support the final submission process
  • Submission of approved tender proposals timely
  • Answer enquires related to tender proposals under the supervision of the Manager
  • Properly maintain all records of tender proposals and contracts awarded
  • Gather requisite information on the needs, flow and opportunities in the government channel
  • Consistently track contract balances to ensure alignment with records from hospitals and 4PL partner by routinely updating contract activities such as monthly sales orders, extensions, and novations
  • Proactively oversee and manage existing contracts by ensuring hospital orders align with forecasted monthly sales volumes, and engage with hospital buyers as needed to meet monthly sales targets
  • Assist in monthly demand planning by collaborating with hospital buyers to review and determine monthly stock requirements, and by regularly tracking order patterns to ensure alignment with forecasts
  • Work closely Supply Chain department to ensure sufficient inventory and timely incoming shipments to support hospital’s stocks requirements and prevent risks of out-of-stocks
  • Respond to hospital buyer’s enquiries and requests related to contract management, including contract extensions and novations, Quality & PV related product feedback, requests for exchange or credit note, ad-hoc requests for PI/PILs and other product information
  • Visit and engage buyers to provide updates on company’s development and new products, understand buyers’ developments including changes in policies, buying trends, and relevant market insights
  • Conduct all business operations with strict adherence to compliance standards
Your experience and qualifications
  • More than 2 years experience in administering tender submission and contract fulfilment of pharmaceutical product supplies to hospitals and medical groups, or in pharmaceutical product procurement in hospitals and major medical groups
  • Degree graduate in pharmaceutical, nursing, bioscience, nutrition, business administration
  • Familiar with General Procurement Office pharmaceutical products procurement procedure
  • Good understanding of contract law
  • Proficient in Microsoft Office particularly in Excel (pivot table), Powerpoint
  • Proficient in business analytics and presentation
  • Effective negotiation skill
  • Balanced customer service behaviour
