Job Description

The East Asian Institute (EAI) at the National University of Singapore is seeking a temporary Events and Administration Assistant to join our administrative team on a 10-month contract. The Assistant will support the EAI in the organization of key events and conferences and provide administrative support in the production of EAI’s key research deliverables.

About EAI: Established in 1997, the EAI promotes both academic and policy‑oriented research on East Asian development. Our focus includes contemporary China (including Hong Kong and Taiwan) and China’s economic relations with Japan, Korea, ASEAN, and the world. We collaborate with regional and international institutions, organize conferences, and provide insights that inform public policy. Successful candidates can look forward to working in a collegial and team‑oriented environment.

Work closely with EAI’s Senior Manager and Communications Executive to provide administrative and logistical support for seminars and conferences.

Responsibilities
  • Draft marketing materials.
  • Design, edit and format print and digital collaterals (social media graphics, posters, videos).
  • Liaison with vendors and partners.
  • Support event set-up (IT, F&B, presentation materials, transportation arrangements).
  • Support the preparation and maintenance of project documents such as event timelines, floorplans and presentation decks.
  • Assist in updating and maintaining EAI’s website, social media and online platforms, and mailing list.
  • Format EAI’s policy reports and commentaries.
  • Note‑take during key internal and external meetings.
  • Any other relevant duties as assigned by EAI’s administrative team.

Occasional duties outside of office hours may be required (weekends/early morning) for key conferences and workshops.

Qualifications
  • Degree or diploma in relevant discipline (events, marketing, communications, social sciences) with at least 1 year of relevant work experience (preference for prior experience in the policy, media or research sectors).
  • Strong administrative and IT skills, including proficiency in Canva, Microsoft Word and Microsoft Excel.
  • Independent and motivated self‑starter with strong communication and interpersonal skills.
  • Meticulous with close attention paid to accuracy and detail.
  • Proficient in Mandarin to effectively support the development of communications materials in Mandarin.
  • Interest in current and international affairs.
