Roles & Responsibilities

Position Title: Senior Executive Assistant to Group Chairman (Industry & Business Administration)

Department: Executive Leadership Office

Reporting To: Group Chairman

Location: Singapore (onsite; occasional travel)

Position Summary: GOWell Technology Singapore designs and manufactures advanced wireline logging tools. We’re seeking a polished, proactive Senior Executive Assistant to provide high-level administrative and coordination support to the Group Chairman and leadership team. You’ll orchestrate the flow of information, meetings, and follow‑ups across functions and partners, and produce clear executive briefs. Industry expertise is a plus. We will provide ramp‑up on our products and terminology.

Key Responsibilities
Executive Support & Coordination
  • Manage complex calendars, travel/visas, and multi‑time‑zone meetings.
  • Draft and prioritize correspondence; prepare briefing packs, agendas, and concise meeting notes.
  • Track actions with Engineering, Quality, Finance and ensure timely closure.
Business Research & Briefing (Generalist)
  • Compile short, well‑structured 1–2 page briefs (company snapshots, partner overviews, event prep).
  • Summarize technical or commercial materials into clear takeaways for leadership.
  • Maintain stakeholder / CRM notes and contact rosters.
  • Track relevant industrial developments and flag potential impacts.
External Engagement & Events
  • Coordinate customer/supplier visits, roadshows, and executive events with meticulous logistics.
  • Support commercial documentation (NDAs, meeting minutes, follow‑up trackers).
  • Bilingual Communication & Representation: provide accurate English ↔ Mandarin translation for emails, slides, and meeting materials.
  • Represent the Chairman’s Office in select meetings with professionalism and discretion.
Process Improvement & Confidentiality
  • Streamline document workflows, templates, and knowledge capture.
  • Handle sensitive materials with strict confidentiality and sound judgment.
Qualifications & Experience
  • Master’s degree in a science / engineering discipline (required).
  • 5–7+ years in an Executive Assistant, Chief‑of‑Staff–style, Commercial Coordinator, or analyst role in a technology, industrial, or manufacturing environment. (Oil & gas exposure is an advantage, not a must.)
  • Strong writing and slide‑making skills; able to distill information into crisp executive summaries.
  • Native‑level fluency in English and Mandarin (spoken and written).
  • Advanced organization and follow‑through across competing priorities and time zones.
  • Proficient with Microsoft Office; familiarity with CRM / ERP (e.g., Odoo / SAP / MS Dynamics) is a plus.
  • High EQ, integrity, and a calm, solutions‑oriented mindset under time pressure.
