Primary Purpose

The Senior Executive Assistant will provide administrative support to the SVP, APAC Brand & Growth Strategy. This key role will be responsible for managing day‑to‑day activities, calendar scheduling, travel, expenses, and special projects. The Senior EA will be part of a dynamic, creative environment and will help to identify solutions that best support the team.

Responsibilities
  • Provide administrative support to the SVP, APAC Brand & Growth Strategy, including heavy calendar management, phone, travel arrangements and expenses.
  • Manage logistics for meetings led by the senior executive and/or team members and cross‑functional partners: organize agendas, book meeting rooms or event space, send calendar invites, provide supplies, written materials, and manage catering, etc.
  • Ensure effective flow of meetings and keep the executive on time by communicating the daily agenda as well as any changes and issues in a timely fashion.
  • Arrange all domestic and international travel, including itineraries, hotel, car, dining, entertainment.
  • Prepare Travel & Expense reports and reconcile corporate card expenses, upholding the Company T&E policies.
  • Code and process all invoices; partner with budget team and finance to manage all monthly projections and accruals.
  • Ensure deadlines are met, questions are answered, and requests are addressed.
  • Field inquiries and requests from key executives and both internal and external partners.
  • Submit requests for new hires, office moves and other logistics, and track the process to completion.
  • Assist with the execution of department events (e.g., coordination of Town Halls, catering, organizing recognition events, confirming attendees, etc.).
  • Develop relationships with internal administrative staff to facilitate meeting planning and scheduling.
  • Maintain Executive's Time & Attendance and track department's attendance schedule.
  • Provide technology and technical support for the executive by managing the hybrid work setting of remote working and in‑person troubleshooting.
  • Participate in special projects as needed.

  • 5+ years of experience as an Executive Assistant, or similar experience preferred.
  • Experience working with internal and external business partners, as well as executives at all levels.
  • Bachelor's Degree preferred.
  • Experience dealing with travel agents, airlines, hotels, etc.
  • Excellent organization skills.
