Job description

Role Overview

You will be responsible for ensuring that Xandro Lab always has the right stock, at the right time, in the right quantities. This role blends demand forecasting, raw material procurement, production scheduling, and inventory monitoring. You will work closely with the Co-founder & CEO, Production Team, R&D, and Brand/Marketing teams to align supply with fast-changing commercial needs.

This is an execution-heavy, numbers-driven role—perfect for someone who thrives on structure, data, and operational excellence.

Key Responsibilities

1. Procurement

• Place timely purchase orders for raw materials, ingredients, packaging, and consumables.
• Maintain strong relationships with existing suppliers; identify alternative suppliers when needed.
• Track lead times, negotiate timings when required, and ensure no production delays.
• Maintain and update procurement sheets and vendor logs regularly.

2. Production Planning

• Convert sales forecasts into monthly and weekly production plans.
• Coordinate closely with in-house or contract manufacturing partners to schedule production runs.
• Ensure production teams have all required components (ingredients, bottles, labels, tablets/capsules, etc.).
• Track batch statuses and release timelines.

3. Inventory Monitoring

• Maintain real-time visibility of finished goods and raw material stock.
• Create and maintain dashboards/reports for stock-on-hand, stock-on-order, and projected shortages.
• Trigger replenishment orders based on reorder points and dynamic sales patterns.
• Coordinate with warehouse/3PL teams on inbound and outbound movement.

4. Forecasting & Analysis

• Translate daily sales data into an accurate rolling demand forecast.
• Analyze trends, promotions, upcoming campaigns, and seasonality to refine forecasts.
• Communicate risks early (e.g., potential stockouts, production bottlenecks, long-lead materials).

5. Cross-Functional Collaboration

You will work closely with:

• CEO on strategic inventory planning.
• Production Team on batch planning, timelines, and quality releases.
• Brand & Performance Team to align stock availability with marketing pushes.
• Finance to maintain procurement budgets and track COGS.

Qualifications

• 2+ years experience in supply chain, production planning, procurement, or operations in FMCG, supplements, food, or consumer goods.
• Strong numerical, analytical, and Excel/Sheets skills.
• Understanding of sourcing and vendor management.
• Experience working with contract manufacturers or outsourced production is a strong advantage.
• Highly organized, structured, reliable, and detail-oriented.
• Ability to work at startup speed—fast decisions, clear communication, and high accountability.
