Job description
Responsbilities:

Procurement:

  • Support tech/design/production team to source for new vendors, parts, and materials
  • Budget and plan purchases according to delivery timeline with sales team
  • Process order confirmations from suppliers quickly and effectively, liaising with other departments where necessary
  • Track and follow up on incoming purchases, inspection on product quantity, condition and liaise with vendors on RMAs when required
  • Monitor supplier performance and resolve issues as they arise
  • Maintain all documents relating to supply chain process in accordance with the company’s quality requirements
  • Communicate informed risks within the business to key stakeholders
  • Ensure accurate documentations and records on all inventory movement in and out of the internal and external storage facilities. This involves timely updating and reporting of inventory movements in the inventory system in accordance to company's guidelines, processes and policies
  • Any other ad-hoc duties assigned

Collection, Receiving and Inspection:

  • Collection of goods at vendor’s site if needed
  • Receive and unload goods and materials from suppliers.
  • Inspect products for quality and accuracy, checking for any damages or discrepancies.
  • Verify deliveries against purchase orders or delivery notes.

Inventory Management:

  • Store products in designated areas and ensure inventory is properly organized for easy retrieval.
  • Maintain accurate stock records and update inventory management systems regularly.
  • Perform regular stock checks (e.g., cycle counts, annual inventory audits).

Stock Distribution:

  • Pick, pack, and prepare materials or products for distribution or delivery to other departments or customers.
  • Ensure orders are fulfilled accurately and in a timely manner.

Safety and Compliance:

  • Maintain a clean, safe, and organized work environment following company safety guidelines and regulations.
  • Follow all health and safety regulations to prevent accidents and injuries.
  • Properly handle hazardous materials and report any safety issues.

Equipment Maintenance:

  • Operate pallet jacks, and other warehouse equipment in a safe and efficient manner.
  • Ensure all equipment is in good working condition and report any faults or damages.

Stock Handling and Replenishment:

  • Initiate RMA process to the purchasing team.
  • Monitor stock levels and assist with reordering supplies as needed.
  • Communicate with the purchasing team to avoid stockouts or overstocking.

Record Keeping and Documentation:

  • Maintain accurate records of stock movements, deliveries, and returns.
  • Prepare and file any required paperwork for stock transactions, shipments, and deliveries.
Qualifications, Skills, Experience
  • Nitec/Diploma in purchasing, supply chain management, Logistics or similar field preferred
  • 1+ year of experience in purchasing, supply chain management or related preferred
  • Good computer literacy
  • Good interpersonal skills, especially to be able to communicate externally with suppliers and internally with colleagues
  • Good time management and organisational skills to meet timescales and deadlines
