Job Summary

The Studio Operations & Design Executive is responsible for managing and coordinating all studio output from design to production. This includes ensuring artwork files are properly prepared, accurate, and delivered on time to frontline teams and external vendors. The role acts as the bridge between designers, client‑facing staff, and production partners—maintaining workflow efficiency, accuracy, and creative integrity.

They also assist in planning photoshoots and video production schedules, support the studio director and art director on budgets and timelines, and provide hands‑on help for simple design or layout tasks as needed.

Key Responsibilities
Studio & Production Coordination
  1. Manage and organize all studio output files, ensuring accuracy, proper naming conventions, and readiness for print or digital production.
  2. Liaise with designers and frontline teams to ensure creative materials meet client and production requirements.
  3. Coordinate with external vendors or production houses to ensure quality and delivery deadlines.
  4. Maintain an archive and tracking system for all artwork and project files.
Quality & Accuracy
  1. Review and check all design output for technical accuracy (sizes, bleed, color, image resolution, copy errors).
  2. Ensure production specifications are met before artwork is released externally.
  3. Support quality control of field materials, including signage, printed items, or digital visuals.
Creative Support
  1. Assist in developing or amending simple artwork, resizing, or adapting existing designs.
  2. Provide support to the design team during peak workloads or urgent project turnarounds.
Project Planning & Scheduling
  1. Assist in planning and scheduling photoshoots, video shoots, or campaign deliverables.
  2. Prepare production timelines, follow‑up with vendors, and track progress.
  3. Support the art director and studio manager in resource allocation and project scheduling.
Budget & Administrative Support
  1. Support the studio director/manager in preparing cost estimates and managing production budgets.
  2. Track production expenses and suggest cost‑efficient solutions when needed.
  3. Ensure all project documentation and approvals are maintained and filed systematically.
Qualifications & Experience

Education: Diploma or degree in Design, Visual Communication, Advertising, or related fields.

Experience:

Minimum 3–5 years of experience in a creative or production studio environment.

Prior experience in print production, advertising, or brand communications preferred.

Basic hands‑on knowledge of Adobe Creative Suite (Illustrator, Photoshop, InDesign) for artwork adaptation.

Strong organizational skills and attention to detail.

Excellent communication skills and ability to liaise between creative and client‑facing teams.
