Job summary

A student services organization in Singapore is looking for a Student Services Executive for a 3-month contract. Responsibilities

The Student Services Executive serves as a key liaison between students, faculty, and administrative staff, ensuring smooth communication and efficient coordination of student-related activities. This role involves supporting the lecturers, assisting in events, managing student records, supporting academic and extracurricular programs, and addressing student concerns. He/she fosters a positive and inclusive environment, promotes student engagement, and contributes to the overall success of student services.

  • Maintain and update student records, academic status, and attendance data in the system.
  • Support matriculation, enrolment, change-of-status processes, and generation of academic letters and certifications.
  • Track student progression and provide general academic guidance in line with institutional policy.
  • Liaise with lecturers and partners on marking of scripts and coursework.
  • Compile, verify, and tabulate marks for internal and external approval.
  • Assist in organizing academic boards, plagiarism panels, and grade processing activities.
  • Prepare approved result slips and ensure timely communication to students.
  • Support scheduling of classes, exams, and workshops.
  • Prepare and manage teaching contracts and coordinate with academic staff for timely execution.
  • Ensure accurate and timely updates to academic timetables and exam schedules.
  • Act as a point of contact for academic staff, students, and partner institutions regarding course-related matters.
  • Assist in planning and coordinating school-related events, including graduation ceremonies.
  • Maintain accurate data in institutional databases.
  • Prepare reports and updates as required by the department.
  • Provide student support services to students via emails, phone calls and face-to-face consultations.
  • Monitor various students' records, processing students' requests, providing consultation and ensuring compliance of procedures and documentation.
  • Conduct regular class visits and events to build rapport with students and to brief students on necessary academic regulations and to conduct in-class evaluations.
  • Organize freshmen orientation for new students.
  • Assist to prepare course materials and lesson plans for students.
  • Coordinate graduation ceremonies and school events across various Schools/ Universities.
  • Perform any other related administrative duties assigned in alignment with institutional policies.
  • Take on additional assignments or projects as directed by the Management.

Requirements
  • Dynamic individual with service aptitude, passion for service delivery and a proactive approach.
  • Prior experience working as a student coordinator is an advantage.
  • Able to manage multiple priorities and meet tight deadlines in a dynamic environment.
  • Able to work independently and collaboratively in a team setting.
  • Strong command of spoken and written English to liaise with native English-speaking clients.
  • Willingness to maintain a strong presence at events and member functions.
  • Ability to respond to problems and to assist students with a calm, courteous, and helpful attitude.
  • Excellent verbal and written communication skills, interpersonal and customer service skills.
  • Excellent organizational skills and meticulous attention to detail.
  • Creative and effective problem-solving skills.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Minimum A level in any discipline.
