About the Role

We are seeking a highly organized and proactive Construction Site Administrator to support the daily operations of our construction site. The successful candidate will work closely with the Project Manager, Site Supervisor, and subcontractors to ensure smooth administrative and documentation flow, site compliance, and efficient coordination among all stakeholders.

Key Responsibilities
  • Maintain and update all site documentation, permits, and records (e.g. manpower logs, safety records, delivery orders, equipment registers).

  • Prepare and process purchase orders, invoices, and site requisitions.

  • Coordinate site correspondence between main contractors, consultants, and subcontractors.

  • Monitor attendance, timesheets, and leave records for site personnel.

  • Assist with preparation of site reports, progress claims, and work schedules.

  • Ensure compliance with workplace safety and health (WSH) requirements.

  • Manage incoming/outgoing documents and drawings (hardcopy and electronic filing).

  • Support the Project Manager in administrative tasks, meeting coordination, and report submissions.

  • Handle day-to-day office functions at the site office (stationery, supplies, logistics).

Requirements
  • Minimum NITEC / Diploma in Business Administration / Construction Management or equivalent.

  • At least 1–3 years of administrative experience, preferably in a construction environment.

  • Proficient in Microsoft Office (Word, Excel, Outlook) and document control systems.

  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
