Job summary

A construction management firm in Singapore is looking for a Site Administrator to provide support in daily report preparation, document control, and coordination with project teams. The ideal candidate has a minimum of GCE ‘O’ Level or a Diploma in Business Administration and 1-2 years of relevant experience. Strong communication skills and proficiency in Microsoft Office are essential for this role.

Qualifications

  • 1–2 years of experience in site administration, document control, or project support in the construction industry.
  • Familiarity with construction documentation (e.g., RFI, site instructions, MOM) will be an added advantage.

Responsibilities

  • Prepare and update the site daily report including manpower and progress updates.
  • Maintain systematic filing and documentation of all project-related records.
  • Assist in the preparation and management of RFIs.
  • Record and distribute minutes of meeting for project meetings.
  • Assist in preparing and filing site orders and instructions.
  • Provide administrative support to the Project Manager and Site Team.

Skills

Proficiency in Microsoft Office (Word, Excel, Outlook)
Good organizational skills

Education

Job description
  • Site Daily Report Preparation

    Prepare and update the site daily report, including manpower, work activities, weather conditions, progress updates, and site issues. Ensure timely submission and accuracy of all daily reports to the Project Team.

  • Document Control and Filing

    Maintain systematic filing and documentation of all project-related records such as RFIs, site orders, minutes of meeting, correspondences, and other site documents.

    Ensure proper organization and easy retrieval of records for reference or audit purposes.

  • Request for Information (RFI) Management

    Assist in the preparation, submission, and tracking of RFIs to consultants or clients for technical clarifications.

    Maintain and update the RFI log, ensuring timely follow-up and proper filing of responses received.

  • Minutes of Meeting (MOM)

    Assist in recording, typing, and distributing minutes of meeting for internal and external project meetings.

    Ensure all action items are properly recorded and circulated to relevant personnel for follow-up.

  • Site Orders / Site Instructions

    Assist in preparing, issuing, and filing site orders and site instructions.

    Update the tracking log to ensure that all instructions are acknowledged and acted upon by the relevant teams.

  • Administrative and Coordination Support

    Provide administrative assistance to the Project Manager and Site Team in day-to-day operations.

    Coordinate with subcontractors, suppliers, and consultants on document submissions, deliveries, and other site matters.

Job Requirements
  • Education: Minimum GCE ‘O’ Level / Diploma in Business Administration or related field.
  • Experience: Preferably 1–2 years of experience in site administration, document control, or project support in the construction industry.
  • Skills & Competencies:

    Proficient in Microsoft Office (Word, Excel, Outlook).

    Good organizational skills and attention to detail.

    Able to handle multiple tasks and meet deadlines in a fast-paced environment.

    Strong communication and coordination skills.

    Familiarity with construction documentation (e.g., RFI, site instructions, MOM) will be an added advantage.
