Job Description
Primary Responsibilities
- Promote excellent customer service and ensure that satisfaction is delivered consistently.
- Build a strong relationship with customers with a high level of confidence in the Company.
- Communicate and follow up with customers on the status of their shipments or deliveries.
- Understand individual customer processes and key performance indicators (KPIs).
- Achieve and monitor the customer’s monthly KPIs closely.
- Comply with the company’s standard operating procedure (SOP) and quality policy.
- Comply with and meet the requirements of ISO 9001, ISO 45001, and ISO 22301 for the Integrated Management System.
- Ensure achievement of IMS Policy and IMS objectives.
- Communicate with superiors to improve department processes.
- Perform any other tasks as assigned by the superior.
Duties / Scope of Works
- Communication
- Understand customer delivery requirements.
- Communicate with customers on their daily trucking status.
- Communicate and handle customer complaints appropriately.
- Communicate with various departments to achieve customer requirements.
- Planning
- Plan the delivery in accordance with customer requirements.
- Plan the delivery schedule in advance to avoid penalties imposed by authorities.
- Plan and maximize delivery in accordance with the company’s resources.
- Processing
- Perform order processing through PSA Haulier Community System.
- Perform permit declaration through Crimson Logic.
- Perform payment / courier service on behalf of the customer.
- Perform shipping documentation and coordination with shipping lines or agents.
- Coordination
- Coordinate transportation with the internal haulage operation team.
- Coordinate with internal & external warehouse operation teams.
- Coordinate with internal & external depot operation teams.
- Reports
- Provide customer reports (Daily or Monthly).
- Generate company reports (Daily or Monthly).
- Generate monthly TradeNet Major Exporter Scheme Import or Export reports for customers.
- Perform monthly accrual submissions (Internal & External).
- Document Storage
- Segregate all documents into company and customer copies.
- Perform document scans through the scan portal to the DocuShare system.
- Maintain proper hard copy documentation for warehouse storage.
- Preparation of Billing
- Execute closure for all completed HCS orders in the PSA HCS system.
- Check all PSA relevant charges are transmitted into the PSA HCS system.
- State all additional company charges on the HCS orders (hard copy) for billing purposes.
- Prepare and attach required receipts and emails for billing purposes (Payment on Behalf, Miscellaneous charges).
Job Requirements
- Minimum GCE O Level with 1-2 years’ experience in logistics industry is preferred.
- Positive attitude, detail-oriented, organized, and able to prioritize tasks.
- Good interpersonal, communication and analytical skills.
- Able to work as a team player, proactive, self-motivated and with high sense of responsibility.
- Ability to work independently and under pressure in a fast-moving environment.
- Proficiency in Microsoft Office.
- Knowledge in PSA Haulier Community System and TradeNet is an advantage.
- Willing to work 5.5 days (Alternate Saturday work from home).
