The Role

This position will provide secretarial support to the Business Unit Head and manage the administrative matters for the assigned department.

Job Responsibilities
  • Calendar Management and maintain effective communication with internal and external parties, handle calls and enquiries
  • Schedule meeting and booking of meeting rooms
  • Organize and coordinate meetings and appointments, manage conflicting priorities
  • Manage travel arrangements and itineraries.
  • Submit and monitor expense claims and disbursements on a timely manner
  • Prepare business correspondences, documents, reports and presentation materials
  • Generate department purchase requests and purchase orders for ad-hoc purchases
  • In charge of on-boarding and off-boarding matters.
  • Provide administrative support within the department and any other projects as assigned
  • Maintain an organized filing system of paper and electronic documents
Job Requirements
  • Diploma / GCE 'A' level / Private Secretarial Certificate.
  • 4 to 6 years of secretarial and / or executive support experience.
  • Trustworthy to handle confidential matters.
  • Meticulous, organised and have good initiative.
  • Proficient in MS Word, PowerPoint and Excel
  • Meticulous, multi-task, team oriented and able to work independently.
  • Proficient at resolving issues and able to adapt to changes in planned workflow
  • Good written and interpersonal skill with courteous disposition.
