We’re searching for a Senior Secretary to be part of our Management diverse team of talent to provide high-level administrative and secretarial support to senior management within a fast-paced semiconductor manufacturing environment. The role ensures efficient office operations, supports cross-functional coordination, and upholds confidentiality and professionalism in all communications and documentation.

What you will be working on
  • Manage and coordinate executive schedules, meetings, and travel arrangements.
  • Prepare and handle confidential correspondence, reports, and presentations.
  • Liaise with internal departments and external stakeholders to facilitate smooth communication and workflow.
  • Organize and support company events, meetings, and visits, including logistics and documentation.
  • Maintain and update filing systems, records, and databases in compliance with ISO standards.
  • Support procurement and budget tracking for departmental needs.
  • Assist in preparing reports and materials for audits and management reviews.
  • Ensure compliance with company policies, including RBA and data protection standards.
  • Monitor deadlines and follow up on action items to ensure timely completion.
  • Provide support in HR-related administrative tasks when required.
  • Uphold a high level of professionalism and discretion in handling sensitive information.
  • Contribute to continuous improvement initiatives in administrative processes and systems.
More about you
  • Diploma or Degree in Business Administration, Office Management, or related discipline.
  • Professional secretarial certification is an advantage.
  • Minimum 5 years of secretarial or administrative experience, preferably in a semiconductor or high-tech manufacturing environment.
  • Experience supporting senior executives or cross-functional teams.
  • Familiarity with ISO9001 and RBA standards will be an added advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with SuccessFactors, SAP, or similar enterprise systems preferred.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Knowledge of document control and office administration best practices.
  • Strong interpersonal skills and ability to work with diverse teams.
  • Fluent in English and Chinese (to liaise with Chinese-speaking stakeholders).
  • Adaptable and resilient in a dynamic, fast-paced environment.
