Job description

The Senior Executive (Operations) supports the daily management of clinic operations across Ma Kuang Group outlets. The role ensures smooth coordination of schedules for either physicians, massage therapists, or clinic assistants, maintains high service standards, and assists in operational planning, reporting, and process improvement.

Key Responsibilities
1. Scheduling & Resource Coordination
  • Assist in planning and maintaining the schedules of physicians, massage therapists, and clinic assistants.

  • Coordinate daily rosters, leave planning, and staff deployment to ensure optimal manpower coverage.

  • Track and update changes in staff availability and clinic operating hours.

  • Support front-desk teams in aligning appointment bookings with staff schedules.

2. Clinic Operations Support
  • Oversee daily clinic operations to ensure smooth patient flow and adherence to service standards.

  • Monitor operational efficiency, identify bottlenecks, and propose improvements.

  • Ensure readiness of clinic facilities, equipment, and treatment rooms.

  • Provide administrative support for audits, compliance checks, and reporting.

3. Staff & Service Management
  • Supervise clinic assistants and coordinate with therapists to maintain service quality and professionalism.

  • Support onboarding and training of new clinic staff.

  • Communicate operational updates, policies, and schedule changes effectively across teams.

  • Promote a positive, service-oriented culture among staff.

4. Quality, Reporting & Compliance
  • Ensure compliance with internal SOPs, safety regulations, and relevant healthcare standards.

  • Handle patient or staff feedback in a timely and professional manner.

5. Administrative & Financial Coordination
  • Assist with billing verification, inventory control, and procurement of clinic supplies.

  • Support the Operations Manager in budget tracking and cost management activities.

  • Liaise with external vendors or service providers for maintenance and logistics when required.

6. Continuous Improvement
  • Contribute to the development and implementation of new operational procedures and workflow enhancements.

  • Participate in projects to digitalise scheduling, reporting, or clinic management processes.

Requirements
  • Diploma or Degree in Business Administration, Healthcare Management, or related field.

  • At least 2–4 years of experience in clinic operations, healthcare administration, or similar environment.

  • Strong organisational and multitasking skills, with attention to detail and problem-solving ability.

  • Proficient in scheduling systems, MS Office, and clinic management software.

  • Good interpersonal and communication skills to work effectively with physicians, therapists, and staff.

  • Service-oriented mindset with the ability to handle patient and staff matters professionally.
