RESPONSIBILITIES
  • Administer all purchasing and logistical needs of President's Office, including but not limited to:
  • Maintaining the full assets list and performing annual review with Office of Finance.
  • Raising Purchase Orders (POs) for purchase of office equipment, supplies.
  • Sourcing of vendors, as required.
  • Maintenance of President's car, including road tax, insurance and arrangements for servicing needs.
  • Office access matters.
  • Support President on research personnel matters and budget tracking.
  • Assist with drafting of correspondence for President, sending welcome and congratulatory messages and season's greetings on behalf of President, and sending messages to the SMU internal community originating from President's Office.
  • Maintenance of intranet site for President's Office and distribution lists created under President's Office.
  • Assist President on ad hoc printing needs.
  • Events Management.
  • Organize and manage events in President's Office, such as lunches with students; lunches with faculty; ad hoc lunches/ dinners; seminars and/or conferences supported by President's Office.
  • Act as backup cover, whenever required, for the Executive Assistant and Personal Assistant.
  • Other administrative duties as may be assigned from time to time by the President.
QUALIFICATIONS
  • A university degree or equivalent but in the absence of a degree, a diploma and/or a professional executive secretary qualification, coupled with at least 15 years of relevant work experience in a similar capacity.
  • Candidates with experience in working with C-level executives would have an advantage.
  • Strong commitment to excellence - perform duties at the highest level possible on a consistent basis.
  • Excellent communicator - able to interact with people of all levels in a confident and professional manner.
  • Demonstrate ability and temperament to work with sensitive information.
  • Ability to think outside of the box, prioritize and make sound judgment calls when needed.
  • Ability to work efficiently and accurately.

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
