Job summary

A national cybersecurity authority in Singapore is seeking a Facilities Management Officer to oversee operations and security for its premises. Job description
What the role is:

As a key member of the Workplace Development team, the incumbent will assist to oversee and run all Facilities Management Operation functions of CSA’s premises and be involved in team management, budget planning, tendering and award of contracts, as well as creating and monitoring KPIs.

What you will be working on:

Responsibilities

  • Facilities Management
    • Plan and coordinate all facility activities, control schedules, manage and review contracts, develop work standards, and evaluate external contractors’ performance.
    • Oversees and supervises contractors’ quality of work to ensure that all tasks are performed correctly, efficiently, and effectively.
    • Inspect CSA’s office space to determine need for repairs or renovations, plan and coordinate all installations (telecommunications, heat, electricity, etc) and refurbishments.
    • Allocate workstation according to needs.
    • Plan and conduct periodic facility inspection to observe and evaluate conditions of the facility.
    • Attends to ad-hoc equipment breakdown.
    • Keep financial records, perform analysis and forecasting of budget.
    • Liaison officer with CSA Divisions to conduct proper server showdown during the annual power shut down.
    • Ensures security and emergency preparedness procedures are reviewed regularly, and implemented properly.
    • Any other related tasks as assigned.
  • Building Security related works
    • Ensure that the entire CSA premises, security system and access are secured.
    • Maintain record and details transmitted by security vendor.
    • Assess the situation and determine root cause on the trigger of the Intrusion Detection System (IDS) alarm.
    • Access the IDS Panel to deactivate the IDS alarm.
    • Disabling and Enabling of IDS alarm, Electromagnetic locks for security, maintenance work and fire drills.
    • Provide supporting evidence such as CCTV footages to aid the relevant authorities.
    • Incident reporting, liaising with the authority on the incident details.
    • Perform role of Key Manager for access cards and management of the security system.
    • Programming of Card Access for incoming and outgoing staff.
    • Manage Videoconference equipment.
    • Other Security related tasks as assigned.
What we are looking for:

Requirements

  • Tertiary education in the Built Environment or equivalent.
  • Prior experience in Quantity Surveying is preferred.
  • Good communication and teamwork abilities to collaborate effectively with all stakeholders.
  • Familiar with workplace safety and health regulation.
  • Effective communication and reporting skills, both written and verbal, with the ability to influence and negotiate with stakeholders.
  • Relevant certifications such as Greenmark accreditation, WSH certification are a plus.
