Job description

You will serve as a trusted Special Assistant to the Chairman and President, ensuring executive readiness, strategic coordination, and impactful stakeholder engagement. You will oversee corporate governance, global office alignment, compliance, and special projects, while supporting executive communications, brand positioning, and internal culture initiatives. This is a highly visible role requiring exceptional discretion, judgment, and cross-functional leadership.

Special Assistant to Chairman & President
  • Manage the Chairman’s and President’s schedules, meetings, and stakeholder briefings
  • Coordinate and prepare materials for board meetings, strategic sessions, and high-level engagements
  • Drive follow-ups and outcomes for confidential or sensitive matters
  • Lead or support key executive projects and communications on behalf of the leadership
Executive Affairs, Stakeholder Relations & Event Governance
  • Plan and manage corporate events including townhalls, board meetings and visits, and global leadership engagements
  • Oversee executive travel logistics, high-level itineraries, and bilingual documentation (translations, media statements, correspondence)
  • Support the C-suite in media relations, communications, and thought leadership aligned with the company’s brand
  • Manage vendor relations, event budgets, contracts, and mitigate associated risks
  • Serve as a central liaison for IPO-related activities between internal teams and external parties such as legal advisors, investment banks, auditors, and regulators
  • Coordinate the timely collection and submission of documents, disclosures, and due diligence materials
Global Office Alignment & Interjurisdictional Stewardship
  • Act as key liaison between corporate headquarter and global offices
  • Coordinate cross-border workflows across finance, legal, compliance, and investment functions
  • Foster collaboration with partners while reinforcing governance and local regulatory compliance
  • Promote cross-cultural awareness and collaboration and operational consistency across jurisdictions.
Organizational Development & Corporate Branding
  • Collaborate with HR to enhance internal communications, leadership visibility, onboarding and cultural integration
  • Partner with branding, marketing, and communications teams on campaigns, positioning, and external visibility
  • Align internal messaging and initiatives with corporate values and strategic goals
  • Lead the corporate office team and oversee its operations and concierge services to ensure smooth daily function
  • Manage office leasing, vendor procurement, and facilities management
  • Lead renovation or upgrade projects, including budgeting and timeline control
  • Organise corporate events and after-office business networking functions
  • Any adhoc duties as and when assign by the Management.
Requirements
  • Bachelor Degree in Business Administration, Finance, Communications, or related field
  • Minimum 10 years of experience in corporate affairs, executive support, stakeholder management with IPO exposure
  • Strong project management and cross-functional coordination skills
  • Excellent interpersonal, written, and verbal communication skills
  • High level of discretion and ability to manage confidential matters
  • Prior experience supporting C-suite executives is a plus
