Job Description
When requested to act as the focal point for the customer to arrange activities such as booking import/export freight arrangements via sea or air, verifying cargo documentation received, coordinating & following up on freight arrangements at origin and destination with relevant stakeholders.
Must anticipate any operational challenges faced & manage the relationships with customs, vendors, carriers, network partners and other job specific operators.
- Act as the main contact point for the customer throughout project or shipment duration.
- Responsible for arranging & coordinating work activities with vendors, network partners, authorities & internally with Ben Line Agencies (BLA) colleagues. These activities include but not limited to booking import/ export freight arrangements via sea, air, or land with relevant external stakeholders.
- Providing customers’ information on verification on duties, taxes, permits or any other authority requirements prior to the freight arrangement.
- Attend pre-ops meetings with customer, vendors & authorities if required.
- Prior to work activities taking place, ensures that approved paperwork such as PO, SLI, Charge Code or work order has been provided by the customer.
- Provides the administration team, vendors & internal colleagues with IL reference number regarding the customers work activities undertaken.
- Must monitor the customers cost outlay throughout project duration & alert management if the credit limit has exceeded the contracted terms allocated.
- Update the customer daily with an activity report for all work activities performed. Administration team must also be in copy to chase vendors for invoices.
- Works closely with Integrated Logistics’ (IL) offshore department and 3rd Party vendors, to ensure cargo operations are in sync with vessel operations taking place.
- Works closely with IL’s or 3rd Party warehousing department, to ensure cargo coming to/from these warehouses are registered & documented.
- Provides management with updated activity report for cargo arrangements which took place under assigned customer accounts.
- Upon work completion, provides administration with completed activity report for all work activities undertaken during customers stay. Must verify & ensure all vendor or authority invoices received includes BLA reference number & costs are aligned with rates sold to the customer.
- Responsible to complete BLA HSEQ checklist & save completed documentation into assigned folder under SharePoint.
- Any other duties as assigned by the Logistics Manager.
Job Requirements
- Preferred to hold a diploma or degree in a business or engineering related subject.
- Strong interpersonal, communication, planning and organizational skills.
- Be able to focus on details for long period of time.
- Must have 5 years’ experience working in freight forwarding or project logistics industry.
- Must have a good working knowledge of MS Office, Word, Excel, MS Project.
- Have a supportive personality along with positive attitude.
- Be proactive and willingness to learn.
