Job summary

Job Summary

The jobholder (6 months contract) supports the Assistant Director / Deputy Director in ensuring the efficiency and smooth operations of Partnerships Department by focusing on the management (including recognition) of volunteers and donors. He/she holds a key strategic position in establishing partner relations and promoting volunteerism at both national and community levels to achieve Yayasan MENDAKI’s mission.

He/She is also responsible in managing the creation, implementation and evaluation of partners’ (i.e. volunteers) engagement and recognition strategies to attract more volunteers. This includes managing a team to implement end-to-end management of volunteers, covering the full lifecycle from recruitment to retention. This involves designing and executing recruitment strategies to attract a diverse pool of volunteers, coordinating onboarding and orientation sessions, and providing continuous training and skills-development opportunities. The officer will also be responsible for ensuring volunteers remain engaged and motivated through regular check-ins, feedback sessions, and meaningful involvement in projects.

He/she supports the organisation in establishing relations with various stakeholders by promoting volunteerism at both national and community levels. The job holder will create and implement engagement and recognition strategies to attract volunteers.

He/She is also responsible for working in partnership with the Communications Department and programme managers to elevate the image of Yayasan MENDAKI as a professional and credible organisation to encourage individuals and corporate organisations to volunteer and partner with Yayasan MENDAKI to donate to support its programmes.

He/She is expected to work from between 8:30 a.m. to 6:00 p.m. on weekdays and may be required to work over weekends and public holidays to support in organisation events. Although he/she is largely expected to work in an indoor environment, he/she is also expected to travel frequently for meetings.

Key Responsibility Areas
Strategic and Stakeholders’ Management
  • Develop, review, and implement strategies to attract stakeholders (individuals and corporate organisations) to partner (eg volunteer) with Yayasan MENDAKI to help in the delivery of its programmes.
  • One of the co-leads that engages stakeholders managed by Partnerships department, eg corporate partners, volunteers, donors, award/bursary/scholarships recipients.
  • Organise events to engage stakeholders
  • Manage the team in the management of volunteers including the recruitment, training, engagement, deployment and rewards of volunteers.
  • Create opportunities for current pool of volunteers to contribute to MENDAKI in other areas, eg volunteer in other initiatives, donate, featured in publicity, ambassadors to other volunteers, etc
  • Identify and groom volunteers with leadership potential and providing opportunities to develop them as volunteer leaders, eg. taking the lead in project teams, coordinating community outreach initiatives.
  • Identify and create opportunities for our volunteers to be recognised and/or receive awards at national level.
  • Support the Head of Department (HOD) to oversee the development and implementation of the Volunteers Management Competency Development Framework to better manage volunteers and reward them.
Stakeholders Management
  • One of the co-leads that engages stakeholders managed by Partnerships department, eg corporate partners, volunteers, donors, award/bursary/scholarships recipients.
  • Network with potential and/or existing partners for collaboration on the provision of community resources as well as the delivery of programmes.
  • Supports the HOD as one of the points of contact with new and existing partners and connect them with relevant departments to further the relationship.
Team Leadership and Management
  • Develop and implement the department workplans and achieve the targets set including budget requirements and setting and cascading departmental goals to individual staff goals and outcomes.
  • Ensure proper and effective utilisation of department resources including budget.
  • Mentor direct reports and provide feedback to support their personal and professional development
  • Ensure staff under his/her charge clocked at least 60hrs of training yearly.
  • Perform any other duties as directed and assigned by the Reporting Officer
Financial Planning and Management
  • Develop and implement the department workplans and achieve the targets set including budget requirements
  • Assist the Assistant Director and Head of Department in the department’s forecasting and budgeting activities and ensure proper and effective utilisation of department resources including budget.
Requirements
  • 5 – 7 years of relevant professional experience preferred
  • Experience in leading a team is vital
  • Experienced working in or have a vast experience collaborating with stakeholders (individuals, corporate or community organisations) would be an advantage
  • Involved in managing or contributing to the company’s Community Social Responsibility initiative would be an advantage
  • Minimum degree in marketing, business administration or media
