Job description

As a Senior Executive, Inventory & Operations, you will play an important role key to responsible for overseeing inventory management, supporting retail and warehouse operations, coordinating IT processes, and driving process improvements to ensure operational efficiency. This role ensures accurate stock control, smooth daily operations, and effective collaboration across departments, contributing to business planning and operational excellence.

Job Responsibilities:
1. Inventory Management & Control
  • Conduct monthly, quarterly, and annual audits to ensure inventory accuracy and compliance with company policies.
  • Perform regular stock reconciliations and cycle counts.
  • Identify, investigate, and resolve inventory discrepancies, shrinkage, or operational inefficiencies.
  • Maintain up-to-date product information and inventory records.
  • Support daily operational processes, including stock transfers, store replenishment, and outlet setup.
  • Coordinate with Store Managers, Warehouse personnel, and relevant teams to maintain workflow efficiency.
  • Assist in outlet clearance sales event setup and monitor adherence to SOPs.
2. Product Claims
  • Oversee and process all warranty/defective claims received.
  • QA inspection of products returned to ensure nature of defect is covered as per warranty policy.
  • Diligently follow-up on all claims submitted to suppliers.
  • Respond promptly to customer requests, inquiries and complaints.
  • Ensure systematic recording and status updates of all warranty claims received.
  • Weekly reporting of total warranty claims and analyzing products with frequent claims to propose preventive measures.
  • Coordinate disposal process with warehouse and ensure adherence to local regulations.
3. IT & Systems Liaison
  • Coordinate with the HQ IT team to resolve hardware, software, network, and system issues.
  • Manage IT supplies inventory and ensure adequate stock levels for office and outlets.
  • Collaborate with teams to ensure product data accuracy in IT systems, including pricing, quantities, and item descriptions.
4. Process Improvement & Compliance
  • Develop, implement, and monitor inventory and operational processes.
  • Assist in creating inventory control policies and procedures.
  • Train staff on inventory processes, audit procedures, and compliance standards.
  • Recommend improvements to reduce errors and enhance efficiency.
5. Ad-Hoc Support & Cross-Department Collaboration
  • Provide operational and administrative support for ad-hoc tasks and projects.
  • Collaborate with Retail, Warehouse, and HQ teams to ensure operational alignment and accurate data.
  • Provide backup support to colleagues in related operational functions when necessary.
Requirement:
  • Minimum Diploma or Degree in Business, Supply Chain, Logistics, or related field.
  • At least 3–5 years of relevant working experience in inventory management, operations support, or retail/warehouse operations.
  • Proficient in Microsoft Office applications, especially Excel (Pivot Tables, VLOOKUP); experience with inventory or ERP systems is an advantage.
  • Strong analytical, problem-solving, and organizational skills.
  • Detail-oriented, reliable, and able to work under tight deadlines.
  • Good communication and interpersonal skills with a collaborative team spirit.
  • High level of integrity, accountability, and professionalism in handling confidential information.
